We’re seeking an organized and motivated Office Administrator to join our team at Front Burner Marketing. In this role, you’ll support daily operations, ensuring everything runs smoothly while contributing to a collaborative and positive work environment. Responsibilities
- Provide administrative support to all members of the FBM team.
- Manage the Managing Director’s calendar.
- Purchase office supplies, assist with mail, and maintain an orderly office environment.
- Manage incoming vendor invoices by documenting, scanning, and uploading them for staff reference during billing sheet preparation.
- Handle vendor payments in a timely manner.
- Update the weekly client billable hours document.
- Reconcile financial accounts promptly and schedule payments for accounts such as credit cards and utilities.
- Review timesheets and approve payroll.
- Prepare billing sheets for account managers, including timesheet hours.
- Actively participate in recruiting processes, including creating and managing job postings online, reviewing resumes, making initial contact with potential candidates, and conducting phone screenings.
- Manage the Marketing Rockstars program to build and engage a pool of potential future hires (marketing for this program will be handled by another team member).
- Assist in preparing new hire paperwork and supplies.
- Manage staff and client gift-giving.
- Maintain the company’s internal website.
- Generate P&L reports for new client proposals before sending them out.
- Run profit/loss reports for each client monthly.
- Manage the list of approved vendors.
- Effectively manage your own workload, prioritize tasks to meet deadlines, and stay within the allotted time.
- Handle sensitive and confidential information regarding personnel, business finances, and operations.
Qualifications
- Ability to manage processes effectively.
- Proficiency in Microsoft Office, with a high level of expertise in Excel. If you find Excel challenging, this isn’t the role for you!
- Strong problem-solving skills.
