Summary
You will be supporting the Policy, Strategy and Oversight team within the Engineering & Maintenance (E&M) Division specifically with trainings for more than 1000 employees who are responsible for maintaining the fixed infrastructure of the department.
Background
The temp will support the Policy, Strategy and Oversight team within the Engineering & Maintenance (E&M) Division. E&M is made up of more than 1000 employees who are responsible for maintaining the fixed infrastructure of the department including the track, power system, signals and communications, and facilities.

Fulfil additional administrative tasks and continuous improvement initiatives that the E&M Policy, Strategy and Oversight team needs support with

Location: Employee will report to 21 Arlington Ave, Boston MA 02129 (Engineering & Maintenance, Building 2). Remote work may be available but will be limited.
Schedule:
Most days the hours will be 8 AM-4 PM though there is flexibility to start earlier or later.
During weeks of May 2-19, temp is expected to work the below shifts in person.

Client will provide laptop, docking station in Building 2, and mobile phone

Responsibilities
- Support the E&M Safety Series, a two-week full shift training for all 1000 E&M employees
- This includes producing publications like schedules, nametags, and feedback surveys
- Managing AV equipment set up and breakdown at different classroom locations
- Restocking materials at locations
- Creating Excel files and adding data from different sources like feedback sheets and sign-in sheets
- Uploading training participation into the Learning Management System (LMS) and creating additional sessions as necessary for individuals who missed.
- Ability to answer questions and provide directions to folks who may have lost their way day of.
- Schedule additional trainings
- Managing room reservations and facilitator availability
- Coordinating with supervisors to ensure employees attend all mandatory trainings.
- Notifying employees and supervisors by Outlook calendar invites about future trainings
- Tracking participation in the multisession trainings
- Uploading training participation into the Learn Management System (LMS)

Minimum Qualifications
- Comfortable use of MS Office (including Outlook, Word, Excel, Teams, and PowerPoint)
- Mail Merging Word documents
- Experience with AV equipment including screens, projectors, and microphone/speakers
- Ability to take in a lot of information and communicate it to others in an understandable fashion
- Qualities include organized, reliable, timely, honest, willing to ask clarifying questions, takes initiative, work with different types of people engaging in a manner that demonstrates mutual respect
Preferred Qualifications
- Background in event management
- Experience with Microsoft Publisher, Mail Merging, and Learning Management Systems
