Under the general supervision of the Accountant I, the Accounts payable Specialist position is responsible for executing fiscal procedures related to accounts payable, transactions and procurement. Job Summary
Under the general supervision of the Accountant I, the Accounts payable Specialist position is responsible for executing fiscal procedures related to accounts payable, transactions and procurement. This includes ensuring invoices are accurate, authorized, and processed in a timely manner. This role requires strong attention to details and strong communication skills.
Key Accountabilities
- Maintains accounts payable files.
- Assists in designing, operating and implementing accounting policies and procedures to meet the cost, internal control, and compliance requirements in accordance with generally accepted auditing standards and the standards applicable to financial audits subject to CFR Part 200 Uniform Guidance.
- Prepares expenditure, journal entries, cash receipts and cash disbursement entries according to accounting procedures.
- Communicates with and assists external auditors during annual financial and compliance audits.
- Prepares memorandums and letters of correspondence to outside vendors pertaining to accounting matters.
- Prepare quarterly Building depreciation reports, monthly bank reconciliation, and various cost allocation worksheets.
- Processes travel advances & Fuelman gas cards.
- Reviews Timesheets for accuracy.
- Assist with G/L reconciliations.
- Assist with procurement requisitions.
- Assist with year-end encumbrance liquidations and carry-forward balances.
- Prepare a weekly Notice of Payments.
- Assist with maintaining control and accountability of fixed asset inventory.
- Assist with the preparation of financial and compliance audits.
- Performs other duties as assigned by the Accountant I or Chief Executive Officer.
- Requires GED or High School Diploma and 2 yrs minimum experience.
- Bi lingual in English and Spanish preferred, but not required.
- Computer literacy, including database management, spreadsheet, word processing, internet, and email.
- Excellent communication and problem-solving skills, written and verbal
- Knowledge of Mission, CSBG Organizational Standards, and Texas Administrative codes.
- Proven ability to establish constructive relationships and interact as a positive role model.
- Customer service orientation with the ability to effectively communicate regularly with internal customers, build relationships, manage customer expectations, and take responsibility for a high level of service.

- Ability to organize and prioritize multiple competing priorities to maximize personal and team effectiveness; keep detailed, accurate, and complete records and documentation as needed.
