SUMMARY: The Receptionist will be responsible for performing clerical tasks within an agriculture office setting to support daily operations. Duties include answering and transferring phone calls to employees, greeting visitors when they arrive for meetings. The receptionist delivers excellent customer service to guests and employees and provides an overall welcoming environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following as well as other duties and responsibilities, which may be assigned as needed.
- Professionally answers and transfers incoming calls on a switchboard.
- Welcomes and greets all guests in a warm and friendly manner and answers any questions they have.
- Operates standard office equipment on a regular basis.
- Responsible for postage machine, FED EX and UPS shipments.
- Receives deliveries.
- Assists AR Clerk with deposits.
- Prints AP emails.
- Scans documents.
- Filing business documents in alphabetical, numerical or any other required ordering system.
- Performs other administrative duties as required.
OTHER QUALIFICATIONS AND SKILLS
- Bilingual in English and Spanish a plus.
- Ability to work well with others, work independently, prioritize responsibilities, meet deadlines and work well under pressure.
- Excellent customer service skills needed for Receptionist duties.
- Even-tempered, flexible, able to work well in a fast-paced environment as well as adjust to tasks in accordance with changing deadlines and priorities.
- Follows Company policies and practices while representing the Company in an ethical and business-like manner in all interactions with employees, government agencies, growers, customers, etc.
EDUCATION AND EXPERIENCE
- Previous customer service experience a plus.
- Previous experience with a multi-line phone system a plus.
- Demonstrate a basic level of proficiency with Microsoft Outlook, Word and Excel necessary to perform duties (print labels, some data entry as needed, etc.)
- Ability to work cooperatively and collaboratively with all levels of the organization and supervisor to resolve problems and issues in a timely manner.
- Organized, detail-oriented, proactive, dependable, and self-motivated.
