WHAT WERE AFTER
OConnell Robertson is seeking a talented Accounts Payable and Payroll Specialist to join the Finance Team in Austin, Texas. The AP/Payroll Specialist will be responsible for day-to-day Accounts Payable, Cash Receipts, and bi-weekly Payroll Processing, performing all necessary duties on a professional level. This role carries out responsibilities in the following functional areas: vendor set up and maintenance, records trade payables, processes payments for credit card, trade and consultant payables, 1099s, expense report processing, and payroll processing. Applicants should be team-oriented, organized, and have strong written and verbal communications skills.

WHAT YOU WILL GET TO DO .
The AP/Payroll Specialist is part of a collaborative business operations team based in the Firms Austin office and is an important participant in the Firms Accounting team.
Accounts Payable
- Set up and maintain vendor records, including contact information, payment terms and tax documentation
- Review and process vendor invoices for accuracy, coding, and compliance with company policies, ensuring proper approvals are obtained
- Responsible for monitoring and maintaining accounts payable reports to ensure timely payments while optimizing cash flow
- Address vendor inquiries and resolve payment discrepancies in a timely manner
- Review employee expense reports and corporate credit card reports for proper backup, coding, and compliance with company policies
- End-to-end ownership of payment processing and requests across phone, mail, and electronic channels
- Assist with month- and year-end close procedures, including accruals and reconciliations
- Responsible for timely and accurate 1099 preparation and filing, maintaining knowledge of laws and regulations to ensure overall compliance
- Identify opportunities to streamline accounts payable processes and improve efficiency
- Assist in the implementation, testing, and maintenance of accounts payable software and systems
Payroll
- Assist HR in verifying the accuracy of payroll on a bi-weekly and ad hoc basis
- Enter data into the payroll system for required manual adjustments per HR
- Responsible for timely processing of bi-weekly and ad hoc payrolls
- Maintain tax and unemployment rates in the payroll software
- Ensure accurate filing and payment of payroll taxes and other withholdings
- Responsible for quarterly payroll tax liability reports
- Investigate and ensure timely resolution of tax notifications
- Responsible for W-2 issuance and any related follow-up
- Assist in the implementation, testing and maintenance of payroll software and systems
Cash Application
- Process daily cash receipts, including receiving and posting checks.
- Ensure accurate recording in financial systems
- Monitor daily cash flows, prepare cash forecasts, and assist in maintaining optimal cash balances
- Assist with bank reconciliations and research and resolve discrepancies promptly
- Perform related system testing as required for software upgrades, enhancements, corrections and changes
Above responsibilities include:
- Upholding strict confidentiality and ethical standards while handling sensitive financial data
- Provide miscellaneous financial support, interfacing with all levels of management and external customers
- Maintain internal and external relations; respond timely to inquiries and requests
WHAT IT TAKES TO BE SUCCESSFUL IN THIS ROLE
Were looking for passionate, driven self-starters. Beyond that, youll need
- Associates or Bachelors degree in Accounting, Finance or related field preferred
- 3-5 Years of experience in accounts payable and payroll
- Experience in the architecture or engineering industry a plus but not required.
- Uphold strict confidentiality and ethical standards while handling sensitive and confidential information, including employee information and payroll records
- Strong understanding of accounts payable processes, general ledger coding, and accrual accounting.
- Familiarity with federal, state, and local payroll regulations.
- High attention to detail with the ability to perform work accurately and thoroughly
- Excellent organizational skills with the ability to manage multiple priorities and meet deadlines.
- Effective communication and interpersonal skills, with a positive attitude and a customer-service mindset.
- Knowledge of state and federal employment law including HR knowledge of EEO, AA, FMLA, ADA, unemployment and workers compensation, benefit programs
- Represents the company in a professional manner and upholds the highest standards of ethical business practices
- Knowledge of Microsoft 365, Outlook, and Windows
- Proficiency in Microsoft Excel, Word, PowerPoint
- ERP experience (Deltek Vantagepoint) desired
