The firm’s Client Development Department works closely with firm leadership and partners in promoting the firm, managing client relationships, strategizing on new business opportunities, preparing materials to compete effectively in the marketplace, and managing activities with a focus on our clients’ experiences.

O’Melveny has an immediate full-time opening for a Meeting and Events Planner. This position will be based in one of O’Melveny’s Southern California office locations (Century City, Los Angeles, or Newport Beach) and will support the firm’s two internal Event Managers as well as the firm’s Director of Brand Management and Operations. The individual must exhibit strong communication, budgetary, collaboration, and organizational skills throughout the event planning/management process to support single-day, client-facing seminars, dinners, and receptions, to multi-day lawyer trainings, retreats, and conferences.

The salary range in CA for this role is $120,000 - $140,000 and represents the firm’s good faith minimum and maximum range for this role at the time of posting. The actual compensation offered to a candidate will be dependent on a variety of factors including, but not limited to, the candidate’s experience, qualifications, and location.

Duties And Responsibilities

Events

Event Planning

  • Collaborate with key stakeholders to define event objectives, goals, and target audiences (mailing lists); create event briefs (with budget estimates) seeking appropriate approvals from firm mgmt. before event commitments are made
  • Develop event concepts, themes, and timelines that align with business objectives and within budget parameters.
  • Create and manage detailed project plans, including budgets, timelines, and task lists.

Event Execution

  • Oversee all logistical aspects of events, including venue selection (site visits as needed), contract negotiations, catering, audiovisual requirements (virtual and in-person), staffing, promotional collateral, CLE forms, and transportation; establish policies and guidelines as needed.
  • Coordinate with vendors, sponsors, and internal teams to ensure seamless event execution. Update key stakeholders throughout the process initiating and running meetings to advance the event planning process as necessary.
  • Lead on-site event management, including setup, registration, attendee engagement, staffing, and post-event breakdown. Ensure that working teams are clear on their responsibilities and expectations. Build and strengthen vendor relationships. Create an atmosphere in all event management operations areas that exceeds guest expectations.

Budget Management

  • Develop and manage event budgets; manage relationships with vendors to control costsensuring cost-effective solutions, while maintaining excellent service standards.
  • Negotiate contracts, track expenses, process and reconcile invoices.

Post-Event Analysis

  • Collect and analyze event feedback and metrics to measure success and identify areas for improvement.
  • Create comprehensive event summaries, collecting attendee event feedback (surveys, polls), and assist with follow-up communications (as need be); share event successes, areas for improvement and best practices with key stakeholders; capture event attendance and details in firm’s CRM; provide strategic recommendations for future events.

Ticket Distribution

  • Support the distribution of sporting (and other) tickets to O’Melveny partners and clients for BD purposes.
  • Track internal and external attendees, special requests, and one-off purchases.
  • Troubleshoot issues with online ticketing software and coordinate sales of unused tickets.

Knowledge, Skills And Experience

  • At least 10 years of relevant experience in business development and/or marketing in a professional services environment; law firm experience is preferred
  • Strong understanding of legal and commercial aspects of corporate and transactional practices
  • Fluency in law firm economics, pricing, staffing, business models, and competitive landscape
  • Strong writing, communication, interpersonal, project management, and leadership skills
  • Track record of fostering collaborative, supportive, and high-performing team environments
  • Collaborative and consensus-building, with high emotional intelligence and an inclusive, big tent approach to leadership
  • Analytical and intellectually curious
  • Proactive and self-directed with the ability to lead initiatives alone or in collaboration with others
