Summary of Purpose

Performs secretarial and technical duties in order to assist assigned Administrator(s). The employee is expected to work in a multi-cultural, diverse working environment.

Typical Duties

1. Prepare, proofread and distribute : correspondence, forms, memos, notes, labels, information packets, etc.

2. Sort and file material using various methods : alphabetically, numerically, by subject matter, by other system or code, etc.

3. Answer and screen telephone calls, take messages, schedule meetings and appointments.

4. Assist students and / or employees as needed (e.g. completing forms, giving directions, explaining college procedures, posting notices, etc.).

5. Compile information from various sources, including budgetary information.

6. Attend and take minutes at meetings, as needed. Prepare and distribute minutes as appropriate.

7. Obtain information to assist college administration in resolving faculty and staff concerns and issues, as needed.

8. Utilize collegewide computer system to prepare and enter non-traditional courses and billings, if applicable.

9. Create and maintain spreadsheets and databases as needed.

10. Maintain financial records and files with appropriate governmental agencies, if applicable.

11. Work with external auditors to ensure bank and debt confirmations were received timely, if applicable. 12. Compile data and send assessment to taxing authorities and assure timely assessments, if applicable.

13. Order supplies and equipment with appropriate approval.

14. Operate office equipment, e.g. photocopier, calculator, telephone, typewriter, computer and any other equipment utilized by the college. Maintain and clean equipment and arrange for service of equipment when necessary.

15. Train and direct college student personnel with appropriate approval. 16. Perform related tasks as assigned.

Knowledge and Skills Required

  • Demonstrated ability to take minutes
  • Demonstrated customer service experience
  • Successful completion of Clerical Skills Battery (Language Arts, Math and Microsoft Office - Word, Excel, and PowerPoint)
  • Computer keyboard proficiency : 60 wpm

Minimum Education and Experience

EDUCATION : An earned Associate Degree or higher in Administrative Support Technology (AST), Business Administration, Business Information Systems or Computer Information Systems.

Any Associate Degree or higher with successful completion of 16 college credits in Business Administration (BUS 1100, BUS 2030, BUS 2530, MKT 2520, ACC 1800, ACC 1810, ACC 1820, and CIS 1050), Business Information Systems or Computer Information Systems.

EXPERIENCE : Two (2) years of secretarial experience.

    Part-time Classified employees are offered the opportunity to have medical, dental, vision at the full monthly premium; life insurance is also available at a nominal cost. Participation requires that benefit costs be taken via payroll deduction.
