The Village School, is seeking a Human Resources Assistant that will support the HR Department needs.
Job Description
- Own new hire, vendor & volunteer safeguarding and background tracking process and documentation
- Accurately track, input, and maintain employee and vendor safeguarding compliance data
- Run & review weekly audits and reports to ensure school compliance at all times
- Manage HR Inbox
- Assist with addressing employee inquiries, and refer non-routine items to appropriate HR or other department personnel for action, in a timely manner
- Preparation and support of data collection for internal/external audits (401K, Payroll, etc)
- Collaborates effectively with the HR team and other school staff
- Provide administrative support to the department for reports and or projects, mail distribution, confidential filing, phone coverage, scanning and indexing employee data
- Effectively communicate and be comfortable with interacting with all levels within the organization (i.e. Head of School, Leadership, staff and vendors)
- Support HR Generalist with the substitute calling system
- Monitors access to HR records and maintains proper security and confidential
- Assist with timely research and preparation of meeting materials to include PowerPoint presentations and adhoc system reports
- Maintain HR meeting calendars
- Assist with key employee events (social activities, community outreach, on-site company events, holiday events)
- Schedule event meetings and handle all meeting logistics. This includes securing conference rooms, ensuring that conference and video calls are ready, preparing meeting materials, coordinating meal delivery, etc.
- Fully supports Company goals of continuous improvement and operational excellence at strategic and tactical levels including reviewing area of responsibility for improvement opportunities to initiate projects or communicate ideas to management as well as active participation on project teams
- Comply with all Company policies and procedures
- Any additional responsibilities or tasks as assigned
- On occasion: process payroll
- Continuous follow up on open items to ensure accuracy and completion
- Bachelor's Degree Required
- 2 years HR Experience a plus
- 2 years administrative skills
- Comfortable working in multiple HR platforms
- Solid proficiency in Word, Excel, PowerPoint and HRIS
- Excellent written and verbal communication skills
- Strong attention to detail
- Experience supporting a senior leader in a fast paced environment
- Polished, professional demeanor
- Requires strong time management, organizational and excellent interpersonal skills
- Ability to work under specific deadlines and handle confidential information
- Must be eligible to work in the US without needing company sponsorship
