Overview:

Student employee needed to assist Executive Assistant to support day to day functions of the Office of Student Affairs. Support needed in the areas of greeting visitors, answering phones, copy and scanning documents. Student employee to be available to run errands and assist the Assistant Vice President and the Vice President of Student Affairs in other duties as assigned and to be present in the absence of the Executive Assistant.

Spring 2025, with the possibility of renewal for an additional academic year

Hours available:

Monday - 8:30am-12:30pm

Tuesday - 8:30am-12:30pm

Thursday - all day/any time

Friday - 8:30am-1:00 pm

Applicant must have Tuesday availability.

Schedule Flexibility:

Fixed schedule, some flexibility with student class schedule

Tasks, Duties and Responsibilities and Learning Outcomes:

- Answer phones and interact in person with students and staff in a professional manner. Should be able to answer basic questions and relay messages to upper management. (CM, PF, CT)

- Adjust work schedule to accommodate other staff in the office, run errands for office, assist Student Affairs Executive Assistant with seasonal office duties. (TW, PF)

- Copy and scan documents. Learn phone functions. (TC)

- Work with everyone student employee interacts with in an equitable manner. (EI)

Candidate Qualifications (Knowledge, Skills and Other Abilities):

- Student must be enrolled in at least six credit hours during the Spring semesters. Must be enrolled in one summer course or be registered in at least six credit hours for the following Fall semester to work during the Summer semester.

- At time of hire the student has a minimum cumulative GPA of 2.0 or first semester enrolled at Oakton.

- Student can show proof of eligibility to work in the United States.

- Student is making satisfactory progress toward achieving their educational goals.

- Pleasant personality.

- Good communication skills.

-Critical interpersonal skills required.

- Ability to handle serious/difficult situations.

- Ability to operate office equipment.

- Capacity for appropriate decision making that goes beyond office work.

- Must be able to take detailed phone messages and keep accurate records.

- Must be able to handle sensitive and confidential information and follow all federal, state and institutional laws including the Federal Educational Right and Privacy Act (FERPA).

Position involves a lot of direct work with Executive Assistant to VPSA, and covering office in her absence. Critical interpersonal skills required, as well as the ability to handle serious/difficult situations, and the capacity for appropriate decision making that goes beyond office work.
