Summary:
Organized real estate assistant to support the Ocean Reef Club Real Estate Company’s real estate team. The real estate assistant's responsibilities include representing Ocean Reef Club Real Estate to other entities on property and providing the highest level of service in all tasks including and not limited to; telephone duties, ordering supplies, preparing and distributing marketing materials, documentation, and reports.
To be successful as a real estate assistant, they should be highly organized and socially confident. An outstanding real estate assistant should be able to keep the office running smoothly and enable the sales agents to perform efficiently.
Real Estate Assistant Responsibilities:
· Perform general office activities such as greeting clients, answering the telephone, making follow-up calls, and ordering office supplies.
· Preparing reports and correspondence and setup meetings.
· Preparing real estate forms and documents.
· Coordinating showings, assisting in preparing for open house tours, and obtaining feedback.
· Preparing and distributing of marketing materials.
· Preparing listing materials and posting property listings.
· Ensuring all listing literature is up to date and available.
· Maintaining electronic and paper filing systems.
· Assisting with the maintaining and updating of office client database.
· Assisting with listing and closing transaction processes, including CLS system and company website.
· Provide updates and communicate with real estate agents.
· Performing duties for the Marketing Manager as assigned.
· Reports to Office Manager and performs all duties assigned by that position.
Education and/or Experience:
· High school diploma/GED.
· College Degree preferred.
· Previous experience in the real estate industry is beneficial.
· Previous coordinator/administrative assistance experience required.
· Must demonstrate a strong command of the English language and professional communication skills, both verbal and written.
· Must be able to communicate with tact and diplomacy.
· Must operate with discretion and confidentiality.
· Proficiency in Microsoft Office especially Word and Excel.
· Must be able to operate basic office equipment including phone, fax, copier, computer, coffee maker.
· Previous experience in maintaining databases and using database software a plus.
· Experience in maintaining professional social media and website maintenance helpful.
· Able to work independently and as part of a team.
· Strong numeracy and organizational skills.
· Critical thinking and problem-solving skills.
· Strong attention to detail.
· This is full time position based on a standard 40 hour work week that requires flexibility including some weekends and holidays.
· Must adhere to ORC grooming and safety standards.

Attendance, Appearance and Conduct:
Regular attendance in conformance with the standards, which may be established by Ocean Reef Club from time to time, is essential to the successful performance of this position. Associates with irregular attendance will be subject to disciplinary action, up to and including termination of employment.
Due to the cyclical nature of the hospitality industry and report deadlines, associate may be required to work varying schedules to meet the business needs of the Club and report deadlines.
Proper grooming is required by all associates and is described in detail in the Associates Handbook. Associates should review this policy and make sure that at all times they present themselves for shifts looking clean, neat and professional.
As a condition of employment, all associates agree to fully comply with Ocean Reef Club rules and regulations for the safe and efficient operation of Club facilities. Associates who violate Club rules and regulations will be subject to disciplinary action, up to and including termination of employment.
