The Office of the Governor is looking for a Correspondence Analyst (Program Specialist IV) to work in the Constituent Communication Division.

What You’ll Do
The Correspondence Analyst works within the Office of the Governor’s (OOG) Constituent Communication Division and reports to the Director of Constituent Communication. Performs highly complex (senior-level) consultative services, analysis, and technical assistance work. Work involves managing the constituent communication system for the agency by providing informational and technical guidance to internal staff. Routinely receives, records, and retains communications from constituents, public officials, state agencies, and others concerning matters of public policy, procedures, and operations of the OOG.
- Coordinates, reviews, and evaluates the process that constituents, elected officials, state agency personnel, and others use to contact the Governor.
- Receives incoming correspondence and assigns for appropriate handling and response on behalf of the Governor and the agency.
- Maintains and updates daily Indigov database constituent and user information, as well as merging or purging duplicates.
- Determines correspondence category and issue classifications for entry into highly complex database system.
- Prepares periodic reports detailing type, topics, tags, and volume of correspondence received by the agency.
- Tracks legislative correspondence during legislative session and prepares weekly tracking and administrative reports.
- Performs complex document and bulk data merges and mailings.
- Develops and maintains internal user manual for training new and existing employees on Indigov.
- Creates, maintains, and manages correspondence tags and categories maintained in the Indigov Master Tag and Category FINDER.
- Coordinates and provides support for the composition, review, and editing of documents, material, and reports.
- Creates, edits, and maintains Indigov database information for state, national, and local elected and appointed officials.
- Adheres to state agency records retention program, practices, policies, and procedures.
- Serves as backup Public Information Request coordinator for the division.
- Assists in the development, preparation, and dissemination of policies and procedures for written documents.
- Maintains knowledge of current events with regard to change and innovation in state governmental affairs and public policy.
- Demonstrates interpersonal effectiveness and tact while communicating with various internal and external constituencies.
- May on occasion communicate with the public and elected officials in person and by phone, email, or normal correspondence.
- May train, assign, and prioritize the work of others.
How You’ll Qualify
- High school graduate or equivalent; and
- Four (4) years of experience in business, analytics, research, government, or communications related work.
Note: Experience and education may be substituted for one another on a year-for-year basis.
You’re a Great Fit with
- Graduation from an accredited four-year college or university with a degree in business administration, management, liberal arts, political science, communication, or a related field.
- At least two years of experience with Customer or Constituent Relations Management Software (CRMS) systems, preferably Indigov, Intranet Quorum (IQ), iConstituent, Voter Voice, or similar CRMS.
- Knowledge of broad issues in CRMS development.
- Knowledge of current public policy and legislative issues, including the administration’s key initiatives and policy positions.
- Experience with the Microsoft suite of business software, especially Outlook, Word, Excel, and Teams.
