Job Title: Service Operations Coordinator
Location: Ohana Pools, Spas & Billiards | Urbana, IL
Full-Time | Competitive Pay | Growth-Focused Role
Are you part coordinator, part problem-solver, and part process-thinker? We're looking for a Service Operations Coordinator—someone who’s ready to take on a key role in our fast-growing pool and spa service & retail company.
This is more than just keeping things moving. It’s a hands-on opportunity to shape how our service team operates, improve the day-to-day, and help build stronger systems as we grow. You'll work closely with both our team and our customers to make sure service delivery is seamless—and you'll help create the processes that make it all work even better.
About the Role
This newly expanded position blends the essential tasks of a Service & Construction Coordinator with the creativity and initiative of a process-improvement role. You'll handle scheduling, customer communication, field support, and product ordering—while also identifying opportunities to make things more efficient, organized, and consistent.
If you’re someone who enjoys figuring things out, streamlining systems, and keeping many moving parts running smoothly, you’ll thrive here.
What You’ll Be Doing-
Daily Operations & Customer Support
✅Field incoming service and construction inquiries from new and returning customers
✅Schedule and confirm appointments, dispatch technicians, and maintain clear communication throughout the job cycle
✅Estimate job costs and prepare accurate, detailed work orders
✅Design daily routes and technician schedules that are efficient and productive
✅Order parts, products, and supplies, while maintaining organized inventory systems
✅Support technicians and crews by coordinating logistics, troubleshooting issues, and providing up-to-date job details
Process Development & Optimization
- Take ownership of process goals and procedures and create structure around them
- Identify gaps, inefficiencies, or pain points in current workflows—and design better solutions
- Translate informal practices into documented, repeatable systems
- Create and maintain SOPs, training guides, and process documentation
- Collaborate cross-functionally to ensure systems work for both field and office teams
- Continuously assess and refine internal processes for clarity, efficiency, and scalability
What Makes You a Great Fit
- You’re a natural problem-solver with strong critical thinking skills
- You’re highly self-directed and can refine processes to have clear structure
- You communicate clearly, ask smart questions, and collaborate well across teams
- You stay calm under pressure and can juggle evolving priorities with professionalism
- You’re passionate about both people and process—and know how to serve both
Bonus Points If You Have
- Experience in pool/spa service, construction coordination, or field service industries
- A background in operations, systems improvement, or project management
- Exposure to startup or high-growth environments where juggling tasks is the norm
Why This Role Is Special
This isn’t a plug-and-play position—it’s a rare opportunity to build your own roadmap in a role that will grow with you. You'll have a seat at the table in shaping how our business functions behind the scenes, and your fingerprints will be all over the systems that make our work easier, smoother, and more successful.
