Job Title: Administrative Assistant & Bookkeeper
Location: Old King's Orchard
Job Summary:
The Administrative Assistant & Bookkeeper will play a key role in ensuring the smooth operation of
Old King's Orchard by managing daily administrative tasks and general bookkeeping duties. The ideal
candidate is detail-oriented, organized, and capable of managing multiple responsibilities in a
dynamic work environment. Experience in administrative support and familiarity with QuickBooks are
highly preferred.
Key Responsibilities:
- Administrative Support:
o Manage office communications (phone, email, mail) and coordinate schedules for staff and
management.
o Greet visitors and handle inquiries in a professional and friendly manner.
o Prepare and distribute internal communications and meeting minutes.
o Maintain organized electronic and paper filing systems.
- Bookkeeping Duties:
o Process and record financial transactions accurately using QuickBooks.
o Reconcile bank statements and prepare regular financial reports.
o Manage accounts payable and receivable, including invoice generation and payment tracking.
o Assist in budget preparation and monitor expenditures.
- General Office Coordination:
o Order office supplies and manage vendor relationships.
o Assist with event planning and other projects as needed.
o Support the management team with miscellaneous administrative tasks and special projects.
Qualifications:
- Prior experience in an administrative role is preferred-ideally within a not-for-profit
environment.
- Proficiency in QuickBooks and general accounting principles is highly preferred.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to multitask and work independently as well as part of a team.
- Proficiency with standard office software (e.g., Microsoft Office Suite).
