About Us :

One Hour Heating & Air is a locally owned trusted provider of residential heating, ventilation, and air conditioning services. With a focus on exceptional customer service and quality workmanship, we pride ourselves on creating comfortable environments for our clients. We are seeking a highly organized and proactive Dispatcher / Office Manager to join our team and play a key role in our daily operations.

The Dispatcher / Office Manager is responsible for managing day-to-day office operations, coordinating service schedules, and ensuring excellent customer service. This role requires a balance of administrative skills, customer service expertise, and the ability to efficiently dispatch HVAC technicians to maximize productivity and customer satisfaction.

Key Responsibilities :

Dispatching (50%) :

  • Schedule and dispatch HVAC technicians for service calls, installations, and maintenance based on skill level, location, and urgency.
  • Communicate with technicians to provide job details, parts requirements, and customer information.
  • Monitor job progress, adjust schedules as needed, and ensure timely completion of all service requests.
  • Utilize dispatch software to manage schedules and maintain accurate records of service calls.
  • Respond to emergency service requests promptly and efficiently.
  • Office Management (50%) :

  • Handle incoming calls, emails, and inquiries, providing information about services and scheduling appointments.
  • Manage accounts receivable and payable, including invoicing customers and processing payments.
  • Maintain accurate customer records, contracts, and service agreements in the company’s CRM system.
  • Oversee inventory levels for parts and supplies, coordinating orders as needed.
  • Prepare reports for management on service efficiency, financials, and inventory.
  • Assist in payroll processing by collecting and verifying technician timecards.
  • Implement and maintain office policies and procedures to improve efficiency.
  • Qualifications :

  • Experience : Minimum of 2 years of experience in dispatching, office management, or a similar role, preferably in the HVAC or home services industry.  Preferably, at least 5-10 years of professional experience.
  • Skills :
  • Strong organizational and multitasking skills.

  • Excellent communication and customer service abilities.
  • Proficient in Microsoft Office Suite and dispatch / CRM software (experience with [insert software name] is a plus).
  • Financial management skills, including invoicing and basic bookkeeping.
  • Education : High school diploma or equivalent required; associate’s degree or higher preferred.
  • Key Competencies :

  • Problem-solving and ability to work well under pressure.
  • Attention to detail and accuracy.
  • Each franchise location is independently owned and operated by a franchisee.     Salary : $24 - $30
