BASIC JOB QUALIFICATIONS
- 3 years of accounting / HR / payroll experience
- A bachelor's degree
- Knowledge of basic accounting principles and bookkeeping support.
POSITION SUMMARY
The Accounting and HR Administrator will support the Accounting and HR teams with data, systems, and processes related to the Accounting, Payroll, and Human Resources functions at Operation Warm. Focus areas include revenue, cash, payroll, and HR program administration. This person will ensure that payroll is processed on time, accurately, and will work alongside the Human Resources department to ensure compliance.
ESSENTIAL SKILLS AND RESPONSIBILITIES
Accounting Support
Research and report accounts receivable activity weekly for the organization and support Partnerships team in collections.Help the team comply with internal accounting processes and controls.Assist the team with month-end close and reconcile assigned accounts and systems.Collaborate with the team responding to internal and external customers.Contribute by being a team player and maintaining a culture of excellence.Payroll Support
Responsible for payroll systems, processing, and documentation. Includes bi-weekly review and coordination with outsourced payroll firm, related system maintenance / monitoring, audit, compliance, and accounting entries, ensuring timeliness and accuracy.Act as the primary internal point of contact coordinating with HR consultants, benefits broker, and accounting for payroll and benefits related matters. Ensure change management and data integrity across systems.Create payroll-related reports, such as earnings statements, tax summaries, and compliance reports.Identify areas for process improvement and automation to streamline payroll operations.HR Administrative Support
As part of the Automated Onboarding Process (ATS), conduct employment verifications, administer E-Verify, and perform other onboarding duties assigned.Responsible for the automated onboarding duties as defined in the HR onboarding ATS process.Schedule orientation meetings for new employees.Administer and track all forms including but not limited to annual review forms and mid-year review forms.Maintain employee records by updating and maintaining employee personal details, tax statuses, and payment information (PAN changes, direct deposit, W4, address, etc.).Other HR administrative duties as requested such as roll forward of the HR and holiday calendar and complete incoming verification requests.Other
