SUMMARY
The Event Coordinator at Opportunity Village will work closely with the Events Manager to plan, organize, and execute a range of impactful events that advance Opportunity Village's mission. This role is central to the success of each event, providing comprehensive support in administrative tasks, logistics, and on-site operations. The Event Coordinator will oversee the coordination of schedules, assist in budget tracking, prepare event materials, and manage clear communication with all departments involved. A key responsibility of this position is to provide oversight for team members, community partners, volunteers, and external vendors, ensuring effective collaboration in the set-up, execution, and strike of each event or project as needed. The ideal candidate will have strong organizational skills, attention to detail, and an ability to lead and coordinate a diverse group of stakeholders to deliver successful, mission-driven events.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Report suspected Abuse, Neglect, Exploitation, Isolation, and Abandonment (ANEIA) immediately as mandated by state law.
- Provide administrative support for the event team.
- Collaborate with the Event Manager and Event Specialist to meticulously document and track all event expectations, ensuring timely follow-up and strict adherence to established timelines and requirements.
- Assist with daily operational and administrative functions while event is in progress
- Support event managers with outreach and coordination of Silent Auction for events.
- Generate thank you letters and acknowledgement correspondence for event staff.
- Call donors to thank them for their donation and make them aware that their check has been received.
- Compile event summaries as directed.
- Supervisor check-in at events and troubleshoot if necessary.
- Ensure that a finance representative is present at all events to support financial oversight and coordination.
- Prepare "Office in a Box" for events, including securing all credit card machines.
- Track all in-kind donations including track all items booked and follow up on items not booked with all event managers.
- Fulfill after-hours and weekend responsibilities as needed, including the potential for extended hours to support event operations
- Assist event lead with planning and execution of various internal and external events.
- Serve as Manager On Duty (MOD) during holiday season at HallOVeen and the Magical Forest.
- Establish and maintain relationships with third party vendors.
- Some travel to a variety of locations in the Las Vegas area and between Opportunity Village campuses.
- Must be able to meet all requirements of OV vehicle policies and travel :
- Between worksite locations
- Within the community
- May be assigned other duties as needed
SUPERVISORY RESPONSIBILITIES
This position will assist with task oversight of team members, community partners, volunteers and external vendors participating in the set-up, execution, and strike of any Opportunity Village project or event, as needed.
