Overview:

 

Under minimal supervision, performs a variety of relatively complex clerical, secretarial, and administrative duties in support of the assigned functional area(s). 

 

This is a non-exempt position in Salary Grade ­­155: Min $28.09 – Mid $33.71– Max $39.33 per hour. The starting salary will be within this range based on qualifications.

Responsibilities

Has Technical and Professional Expertise: Has the technical skills, product knowledge and professional skills to do the job.

  • Performs various clerical, secretarial, and administrative duties supporting multiple functional areas, including composing and editing correspondence independently or from oral/written instructions. Reviews and proofs documents, records and forms for accuracy, thoroughness and conformity with applicable rules and regulations. 
  • Collects and compiles statistical and budget data and other information for special and periodic reports, as necessary. Assists in conducting research and analysis for administrative assignments, develops appropriate report formats, evaluates information, and makes recommendations. 
  • Develops and prepares various correspondence, reports, memoranda, desktop procedures, meeting minutes, and other materials. Arranges meetings, conferences and travel, as required.
  • Manually enters collected Freeway Service Patrol (FSP) assist information when required because of changes, corrections, or adjustments to data resulting from system issues, operator system disconnects, and/or global positioning system failures.
  • Validates 511 travel information across the website, mobile application, and Interactive Voice Response (IVR) system, ensuring accuracy in sigalerts, trip planning, freeway updates, transit planning, and other system areas by cross-referencing reliable sources such as Caltrans, OCTA, and Google. Identifies and reports anomalies or non-compliance for corrective action.  Assists in data entry and maintains databases to track and report 511 usage and related information.
  • Establishes and maintains complex interrelated filing systems and records. Orders and maintains office supplies, such as promotional materials, business cards, forms, and other materials for distribution to FSP vendors/contractors and marketing staff.

 Communicates Powerfully & Prolifically: Shares insights on issues/problems, clarifies purpose and links that purpose to actions.

  • Serves as a liaison with the public, management staff, employees, community agencies and government representatives.
  • Relays telephone and other messages, answers questions, responds to requests, resolves problems and refers callers as appropriate. Communicates effectively with all levels of staff.

Takes Initiative: Initiates new programs, processes, relationships, or technologies to accomplish goals.

 

Works in a Collaborative Manner with Others: Works in a collaborative manner with others, helps resolve unproductive conflict.

  • Establishes and maintains effective working relationships.

Qualifications

Any combination of education and experience equivalent to a high school diploma with a minimum of five years clerical experience, including working with financial and statistical information.  Related education preferred.

  • Work may be performed in a stressful, fast-paced office environment, depending upon assignment.
  • Ability to understand verbal communication and to respond effectively.
  • Reaching, Finger Dexterity, Grasping, Feeling, Talking, Hearing, Seeing, and Repetitive Motions in computer use.
