Executive Assistant
The company is seeking a highly organized and professional Executive Assistant to support the General Manager of their Chemical Manufacturing and Distribution company. The successful candidate will be responsible for providing high-level administrative support, managing daily operations, and ensuring the smooth running of the GM’s office. A key responsibility for this role will also be assisting the GM in converting the organization to a paperless record-keeping system. This role is essential in facilitating communication, prioritizing tasks, and coordinating key initiatives that drive the success of the business.
Key Responsibilities Include :
- Receptionist Duties | Answer phone calls, process orders, and manage customer service inquiries (2 hrs / day).
- Document Filing | Organize and maintain proposal and project documentation (0.25 hrs / day).
- CRM Database Management | Support the transition of data from Telemagic to Acumatica (2 hrs / day).
- General Manager Email Management | Review and prioritize the General Manager’s emails, taking appropriate actions (2 hrs / day).
- General Office Support | Aid the team as needed with general office responsibilities (1 hr / day).
- Bid / O&M Manual & Submittal Support | Assist in compiling and obtaining necessary documentation for construction projects (0.25 hrs / day).
- Special Projects Assistance| Support the General Manager with various ongoing projects (0.5 hrs / day).
Requirements :
The ideal candidate is an E5 or E6 Navy Yeoman or military veteran with an executive assistant background who has a proactive attitude and a passion for supporting senior leadership while driving digital transformation.
