Job Summary
We are seeking a highly organized and professional Receptionist/Assistant to join our team. This role is essential in providing exceptional customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, proficiency in various office software, and a friendly demeanor to create a welcoming environment for clients and visitors.

Responsibilities

  • Greet clients and visitors in a courteous and professional manner.
  • Manage incoming calls using effective phone etiquette, directing calls as necessary.
  • Maintain an organized filing system for both physical and digital documents.
  • Assist with administrative tasks such as scheduling appointments, managing calendars, and coordinating meetings.
  • Provide excellent customer service by addressing inquiries and resolving issues promptly.
  • Utilize computer software, including QuickBooks, to manage office tasks and maintain records.
  • Proofread documents for accuracy and clarity before distribution.
  • Ensure the reception area is tidy and presentable at all times.
  • Support other team members with various tasks as needed, demonstrating effective time management skills.

Experience

  • Previous experience as a receptionist or in a similar administrative role is preferred.
  • Familiarity with dental receptionist duties is a plus but not required.
  • Proficient in using phone systems and computer applications relevant to office management.
  • Strong customer service skills with the ability to handle inquiries professionally.
  • Excellent proofreading abilities to ensure high-quality documentation.
  • Demonstrated time management skills to prioritize tasks effectively in a busy environment.
