As a Front Office Coordinator, we are looking for a self-starter who is highly motivated and detail oriented. The Front Office Coordinator will manage the front office, answer company calls, deliver mail and other packages, maintain office & other misc. supplies, compose and distribute general office memos and correspondence, greet visitors, schedule appointments and meetings and various administrative duties.
Schedule: Monday-Friday, 8:30 AM - 5:00 PM
Location: Onsite – Draper Utah

Key Responsibilities:
- Serve as the primary point of contact for visitors, clients, and staff, ensuring a welcoming and professional atmosphere.
- Manage front office operations, including phone calls, scheduling, correspondence, and maintaining the company and visitor calendar displays.
- Take initiative to identify areas where assistance is needed and independently handle additional tasks or projects.
- Communicate proactively with supervisors to verbalize availability and offer support for new responsibilities.
- Maintain organized records, files, and supplies to ensure smooth office operations.
Administrative Support:
- Support cross-departmental needs by collaborating on administrative and operational tasks.
- Assist with company event planning, including food orders, decorations, and event setup/teardown.
- Retrieve, sort, and deliver USPS mail and other small deliveries, notifying the intended recipients.
- Order and coordinate food deliveries for company meetings and events.
- Track and distribute parking passes and maintain vehicle records for employees and visitors.
- Manage vendor accounts and maintain relationships with service providers such as RING CENTRAL, food vending, and shredding services.
- Handle company purchases, including Amazon and company credit card transactions.
- Perform other job-related duties as assigned by management.

Qualifications:

Qualifications:
- High school diploma or GED
- Formal qualification in office administration, basic accounting duties, secretarial work, or related training
- 2-3 years of experience in a similar role
- Exceptional ability to create a welcoming environment
- Ability to observe business etiquette and maintain a professional appearance
- Familiarity with office management software (e.g., Microsoft Office Suite, scheduling tools, or specialized CRM systems)
- Experience in reconciling accounts, managing & reviewing large sets of data, managing front desk operations, including scheduling and handling client inquiries
