DESCRIPTION

Otterbein University is in search of an Administrative Assistant who will provide key administrative and logistical support to the chair, faculty, staff, and students of the Department of Theatre & Dance. Candidate will exhibit excellent organizational and communication skills, attention to detail, and the ability to juggle a multitude of tasks for a nationally ranked theatre training program. This is a full-time, non-exempt position, working 37.5 hours / week, 52 weeks a year.

JOB RESPONSIBILITIES

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Provides key administrative, clerical, and logistical support to the department chair, faculty, and staff of the department.
  • Manages & maintains all aspects of online recruiting software; coordinates on-campus and off-campus auditions and interviews; gathers and organizes all materials for applicant interviews.
  • In collaboration with the chair of the department, maintains recruiting related communication in a timely manner, demonstrates knowledge of the Theatre degree programs, and updates prospective students about the status of their applications.
  • Supports all aspects of the academic program; supports departmental administrative functions by working with Academic Affairs, Student Affairs, Student Success, Admissions, with attention to university and accreditation deadlines.
  • In cooperation with the Managing Director, ensures accuracy of marketing materials and content on department website.
  • Maintains copy machines; orders office supplies; prepares work orders and follows-up as needed, works with Security and Housekeeping on activities occurring in theatre spaces and parking lots.
  • Schedules and coordinates departmental meetings, schedules rooms, and makes travel arrangements for chair, faculty, and guest artists.
  • While closely communicating with Admissions, meets with prospective students and their families; coordinates student guides and class visits for prospective students, and schedules faculty and chair interviews.
  • SUPERVISORY RESPONSIBILITIES : Supervises work-study recruitment liaison and all work-study student employees and volunteers for recruitment functions.

    EDUCATION and / or EXPERIENCE : High school diploma. Administrative experience of at least three years required. Experience in an academic setting is preferred.

    LANGUAGE SKILLS : Must possess interpersonal and communication skills including competency in spoken and written English grammar.

    MATHEMATICAL SKILLS : N / A

    TECHNICAL SKILLS : Proficiency in Microsoft Office. Ability to operate and oversee a variety of office equipment

    REASONING ABILITY : Knowledge of general office procedures; must possess excellent customer service skills with students as well as adults; strong interpersonal and supervisory skills; ability to exercise initiative and independent judgment in unusual or new situations; must be able to work with multiple interruptions; must be able to retain confidential information.

    While performing the duties of this job, the employee is frequently required to talk or hear, sit, reach and use repetitive motions of hands and wrists. The employee is occasionally required to stand, walk, stoop or bend. The employee must frequently lift and / or carry up to 20 pounds and occasionally push and / or pull up to 20 pounds. This position requires close vision. Must be able to meet regular and predictable attendance standards.
