Nature of Work

Coordinates with event organizers to determine the layout of the event and where the equipment will be placed. Ensures the events are running smoothly and minimizes any problems that arise on the day of the event. Maintains equipment and schedules pick up and drop off of the equipment. Schedules meetings with event organizers to go over site layouts.
Essential Duties & Responsibilities

The Special Events Aide is directly responsible for the cleaning, maintenance, delivery, setup, and retrieval of City of Grand Rapids’ special events rental equipment. The Special Events Aide will prepare rental equipment in response to requests, coordinate with event organizers to determine event layouts, ensure events using city services are running smoothly, minimize event day problems, maintain and repair equipment, coordinate pickups and drop offs, schedule meetings with organizers to review site layouts, setup and tear down rented equipment including mobile stages, free standing stages, mobile bleachers, fencing, power supplies, tents, tables, chairs, podiums, and microphones; maintain equipment is in good working order, keep equipment inventory, and plow snow as needed for event activities. The Aide will also decorate and pull the City float in parades, program lights and sound on the showmobiles, and source replacement and new equipment to keep up with demand.
The position may include collecting, interpreting, and disseminating post special event evaluation information as well as assisting in research projects for best processes and procedures for the Office of Special Events. The Special Events Aide must always present a positive and professional image for the City of Grand Rapids. Work is performed under the direction of the Special Events Supervisor.

- Sets up and tears down equipment that event organizers rent from the City, including mobile stages, free standing stages, mobile bleachers, fencing, power supplies, tents, tables and chairs
- Meets with event organizers to determine event layout
- Supervises temporary personnel, gives work directions and keeps track of time and hours worked
- Makes out schedule of job duties for workers
- Schedules pick ups and drop offs of rented equipment
- Supervises workers and monitors events activities to ensure equipment is properly placed and in good working order
- Keeps up with inventory and performs maintenance on events equipment
- Plows snow from around buildings and assists other snow clearing activities as needed
- Performs related work as required

Required Education and Experience
- High school diploma (or GED equivalent)
- At least one (1) year of related work experience special events maintenance and repair work
- Any equivalent combination of training, education, and experience that provides the required skills, knowledge and abilities
- Commercial Drivers License (CDL)
