We are hiring a Project Coordinator to join our Springfield, MO team.
The Project Coordinator communicates and coordinates the ongoing client projects by performing a variety of clerical and administrative tasks.
Duties/Responsibilities
- Assist project managers, department leaders, and designers to maximize productivity
- Collaborate with other consultants who are part of the project team, contributing to the entire project lifecycle
- Assist in the monitoring of schedules for the projects and proposal deadlines
- Coordinate with clients for signatures on permit applications and related documents
- Assist with facilitating and growing client relationships by confidently and continuously demonstrating commitment to clients’ needs
- Report updates verbally and in written form to the project manager and/or client weekly
- Document all project-related activities with detailed descriptions and time spent to support client invoicing daily
- Involved in Project & Engineering submittals, including cover letters, applications, submittal coordination, state permitting, etc.
- Project research as requested
- Attend meetings and prepare required meeting documents and meeting minutes
- Track project contracts and files using the project-tracking software
- Assist with the preparation of contract bidding documents
- Assist project managers and department leaders in monitoring project budgets
- Assist with accounts receivable
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills
- Proficient in Microsoft Office Suite or related software
- Excellent organizational skills and attention to detail
- Able to handle multiple tasks and projects concurrently
- Ability to work effectively in a team and thrive in a high-volume, deadline-driven work environment
- Ability to work independently with little supervision
- Capable of occasional travel to project sites, conferences, meetings, and other company locations as needed.
- A high school diploma or equivalent, as well as an associate or bachelor's degree, is preferred.
- Valid driver’s license and clean driving record
- Ability to lift 25 pounds
