The executive assistant will provide administrative and secretarial support to the Leadership Team, specifically the President / CEO, CFO, COO, VP of Sales & Marketing, VP of Gas Operations and HR Director. They will perform a variety of duties such as manage schedules, assist with company contract record keeping, coordinate meetings and conferences, create / process reports, and work on other special projects. In addition, they will manage company travel, clothing, years of service and assist with company-wide functions.

Essential Duties and Responsibilities :

  • Compose general memorandums, charts, tables, graphs, business plans, and other material
  • Assist leadership team with clerical duties such as photocopying, filing and collating
  • Create and develop visual presentations for various meetings
  • Prepares reports for special projects by collecting and analyzing information
  • Organize Company-wide travel and coordinate leadership training / travel arrangements
  • Organize management meetings to include reserving venues, scheduling caterer, creating meeting agenda, and performing other arrangements as needed
  • Assist in scheduling internal & external meetings through multi-agendas
  • Supports the sales department through maintaining target lists, managing customer agreements and other sales projects as needed
  • Manage the ordering of flowers, luncheons, etc. as necessary
  • Maintain company-wide accountability chart through Bloom Growth
  • Manage and order years of service awards for eligible employees
  • Manage internal and external Company events working closely with event committees

Education, Experience & Skills :

  • High School diploma
  • 2 years of executive administration experience
  • Ability to take direction from multiple levels of organization and manage own workload
  • Proficient computer skills especially in Microsoft Office 365
  • Strong communication skills and basic customer service experience
  • Must be detailed oriented and able to handle highly confidential information
  • Must be organized, have good reasoning skills, and time management skills

    The range for for this position is $52,289 annually - $78,433 annually. Pay is dependent on several factors including relevant work experience and internal equity.
