In this role, you will play a vital part in ensuring seamless financial operations by processing vendor invoices, maintaining records, and supporting our accounting team. What You’ll be Doing…
- Invoice Processing: Receive, sort, and review vendor invoices for accuracy before processing payments.
- Data Entry: Input invoice details, including vendor information, amounts, due dates, and discount dates, into VAI accounting software.
- Invoice/Purchase Order Matching: Collaborate with the Receiving/Inventory Specialist to match vendor invoices with purchase orders.
- Account Reconciliation: Compare vendor statements with internal records to identify and resolve discrepancies.
- Payment Processing: Prepare and submit payment batches to vendors according to established payment terms.
- File Maintenance: Organize and maintain records of invoices, purchase orders, and payment documents.
- Receptionist Fill-in: Rotate as front desk receptionist with other administrative staff, including answering and routing incoming calls and providing customer service.
Here’s what your work history needs to show as evidence that you’re the right candidate…
- Demonstrated ability to have great attention to detail and high accuracy in data entry for invoice processing.
- 2 years of experience in accounts payable, bookkeeping, or accounting.
- Proven ability to input data efficiently and accurately into VAI accounting software and MS Office applications (primarily Excel).
- Capable of managing a high volume of invoices while maintaining precise records. Ability to meet deadlines effectively.
- Strong verbal and written communication skills. Ability to interact professionally with vendors and internal teams to resolve invoice issues. Comfortable working independently or collaboratively. Professional phone etiquette when communicating with vendors, customers, and internal staff.
