The Admissions Visits Coordinator & Operations Specialist is responsible for assisting with campus visits and events for prospective students, and supporting the Operations Office in applicant processing and data management. Reporting to the Assistant Director of Events and Visitation, this individual will join an enthusiastic and vibrant Undergraduate Admissions Team at a growing Christian university. This role is responsible for ensuring that students and their families have positive, welcoming, and well-rounded experiences during their campus visit. This position will require working occasional nights and weekends.
Position Responsibilities
Event planning experience preferred. A proven ability to effectively communicate both in writing and verbally is essential. Computer literacy is required. Current valid driver’s license required.
Position Responsibilities
- Responsible for coordinating campus visits for prospective students and their families, and assisting in the planning and execution of Undergraduate Admissions events.
- Welcome all visitors and guests with the highest level of customer service
- Answer phone calls and respond to emails for the Visitation Center
- Schedule and oversee logistics for daily group and individual visits
- Work collaboratively with counselors, coaches, and professors to personalize visitations
- Maintain and update Customer Relationship Management (CRM) system for visit scheduling, tracking, and trends
- Ensure campus and Visitation Center are prepared for visits, including restocking inventory, certifying cleanliness, technical upkeep, and placing proper signage
- Assist in facilitating the successful programming and coordination of all open house and special events for Undergraduate Admissions
- Fulfill requests for materials from prospective students and schools
- Maintain inventory and update accounts payable for Admissions Department, including ordering, tracking, invoicing, and establishing proper amounts
- Support and fill-in for Assistant Director of Events and Visitations as needed
- Other duties assigned as needed to related to Events and Visitations
- Assist the Operations Office with the day-to-day administrative duties including data management and maintaining prospective student records.
- Assist in the preparation of outgoing mail, and receiving incoming mail related to Admissions
- Assist with processing, scanning, and uploading applicant documents into the Enrollment CRM and document management software
- Monitor Admissions email account, including forwarding correspondences and uploading applicant materials
- Create inquiry records in the Enrollment CRM
- Provide maintenance, updates, and monitoring of applicant records in the Enrollment CRM
- Assist Admissions Counselors with maintaining updated and correct records
- Other duties as assigned as needed related to Operations
