What You’ll Do
- Greet guests to Adult Day Training (ADT), distribute visitor badges ensuring sign-in, and escort visitors to appropriate office/area.
- Responsible for front desk operations, including receiving incoming telephone calls in a prompt and courteous manner.
- Provide clerical support to all adult community programs including Curry, Burkett, ADT, Community Supports (CS), Vocational Rehab. Clerical support includes developing forms, spreadsheets, data entry, etc.
- Schedule meetings, coordinate attendance, solicit agenda items, type agendas, take and distribute minutes and follow up for residential, ADT, CS, meetings.
- Schedule health clinics for residential programs.
- Coordinate scheduling rooms and space for all meetings, training, health clinics, and activities as requested.
- Schedule tours for prospective participants assuring Outlook calendars are utilized and availability of key personnel is verified.
- Utilize computer and software such as Therap, iConnect, Paylocity.
- Scan and upload documents to Therap and iConnect as needed.
- Develop and maintain documentation tracking for newly admitted participants including due dates of monthly reports, quarterly reports, annual reports, service authorizations.
- Complete and audit weekly/monthly report of participant attendance vs. maximum allowable revenue.
- Maintain waitlist, contact waitlisted people quarterly with status update.
- Distribution of monthly activity calendar in conjunction with Activities and Recreation Coordinator.
- Maintain participant contact list, adding and removing information as needed.
- Monitor any art sales in the art store, accepting payment, submitting form and payment to accounting department as required.
Requirements

- Ability to read and follow instructions and safety precautions.
- Physical demands such as repetitive motion, standing, bending, kneeling, walking, and lifting for extended periods of time.
- Able to safely lift to 50 pounds.
- Proficient in Microsoft Office Suite and other electronic tools preferred.
Education, Training and Experience Requirements
- High school diploma or equivalent required.
- Sufficient working knowledge of Microsoft Office Suite to perform essential functions of the position.
- Valid Florida Drivers’ License with acceptable driving record.
- Be physically, visually, and auditorily aware of the cognitive, social, and physical needs of our participants.
- Communicate effectively in English both verbally and in writing.
