Job Summary: The Administrative Assistant is responsible for welcoming and greeting all guests and visitors and assisting them in a professional manner. This position will be responsible for answering all incoming phone calls and transferring them appropriately. The Administrative Assistant will help coordinate and maintain the daily nursing schedule for Parkview Home as well as purchasing for all of Parkview Senior Living. Participate in nursing home committees and department management meetings as needed. The Administrative Assistant will coordinate communication with outside vendors in regard to Parkview Home.
Qualifications: Required to have excellent customer services skills both on the phone and in person. Required to have excellent organizational skills with strong attention to detail. Previous experience with customer service is preferred. Must have 2 year business or related degree. Purchasing experience preferred, but not required. Required to have an ability to read, write and speak English, and complete and pass a state required background study form which checks for certain criminal convictions or serious/recurring maltreatment.
General Responsibilities:
- Greets and welcomes all guests or visitors with excellent customer service, assisting them with their needs.
- Answer all incoming calls in a professional manner and transfer them appropriately.
- Maintain and coordinate the daily nursing schedule for Parkview Home to ensure adequate/appropriate staffing.
- Complete daily nursing assignment sheets on an everyday basis.
- Meet with new employees for their new hire visit, ensure all new hire papers are complete. Assist with setting up their orientation schedule.
- Enroll new staff in online training and assign out yearly online training to all Parkview Home staff.
- Demonstrates a high level of accuracy and attention to detail.
- Assist residents in obtaining transportation to medical appointments, upon discharge, etc.
- Track and trend employee absences.
- Enter time sheet adjustments, on an ongoing basis.
- Ensure supply areas are stocked appropriately at all times.
- Schedule facility meetings, send invites.
- Keep meeting minutes and distribute as required.
- Assist department heads with administrative tasks as needed such as mailing, filing, etc.
- Sort mail and distribute to staff members and residents.
- Basic competencies regarding dementia management, infection control and other areas as identified through the facility assessment.
- Respond to emergency codes, ie: fire
- Basic competencies regarding abuse, neglect, exploitation, and misappropriation of resident property.
- Demonstrates dependable, professional work habits.
- Other duties as directed.
