Job Overview
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will be responsible for overseeing daily office operations, ensuring efficient administrative processes, and providing support to various departments. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks simultaneously.
The Office Administrator is seen by all facets of the community and is responsible for showcasing Paso Robles Youth Arts in the highest regard to stimulate overall trust and recognition of the organization. This position will be full-time, non-exempt offering 30-35 hours per week.
Duties
ADMINISTRATIVE TASKS
- Assist with record-keeping that involves highly confidential information.
- Communicate with members of the public
- Clerical duties and administrative task, as assigned
- Act as a direct assistant to the Executive Director.
- Prepare for and take notes for meetings
- Assist in the preparation of Board Meeting agendas and materials
- Assist in Board member communication and scheduling of meetings and/or events
- Strong ability to multi-task and prioritize assignments
- Assist with data collection
- Receptionist responsibilities including answering phones and greeting visitors to our facility
- Follow opening and closing procedures
- Assist and support any conflict that may occur in the classroom
- Assist with donor management
- Support grant management
- Assist in the planning and execution of community fundraisers and auctions
- Process donation payments
- Assist with creation and design of marketing materials
- Manage all social media content
SKILLS & ABILITIES
- Carry a high standard of professionalism
- Bilingual: English/Spanish, preferred
- Available to work M-F, 10:45pm-6:45pm and occasional Saturdays
- Strong attention to detail and ability to multi-task
- Strong organizational and time management skills
- Good verbal/written communication skills
- Must be tactful and able to resolve disputes
- Proficient (or willing to learn): Google products, Microsoft Office Suite, Canva, CRM database and Adobe Acrobat.
