Job Description

Japan based Trading company in El Segundo, CA

Position : JAPANESE BILINGUAL SALES ASSISTANT (Junior level)

Work Location : El Segundo, CA

Work Style : Hybrid (2 days / office any days)

Work Hours : M-F 9-5 (some occational OT)

Excellent benefit : Employee 100% by company

Salary Range : around 55K / year

ESSENTIAL FUNCTIONS :

SALES ASSISTANT

  • Follow up sales lead request from GM
  • Respond to customer inquiries regarding pricing, in stock items, credit terms, order status and tracking information.
  • Prepare sales orders in MTS; upon approval, prepare delivery orders and packing lists and send to warehouse. When necessary, prepare commercial invoices in excel for international shipments and send to warehouse.
  • Process customer transactions such as confirming receipt of orders, and handling returns and repairs between customer and supplier.
  • Obtain accurate information from supplier relating to shipment dates, expected delivery dates; Coordinate on time deliveries for customers.
  • Monitors warehouse report daily, investigating discrepancies between warehouse report and system report, reconciling both reports monthly.
  • Prepare end of month internal reports for department and monthly sales reports for supplier.

ACCOUNTING

  • Minimize overdue A / R by closely monitoring customer A / R in MTS and customer open order reports; contacting customers by phone or e-mail to remind them of payment due dates or inquire reasons for late payments. Promptly reports to sales staff when additional collection efforts are required.
  • Processes payments in timely manner for merchandise and miscellaneous expenses following accounting procedures and guidelines.

    • EDUCATION, EXPERIENCE AND SKILLS REQUIRED :

  • 4 year degree from accredited college
  • 3-4 years of Sales Assistant / Operation / Administrative Support experience
  • Ability to communicate effectively with those inside / outside the Company.
  • Proficient with Microsoft office.
  • Knowledge of basic accounting / bookkeeping practices.
  • Must possess basic analytical skills, meet deadlines and maintain confidential information
  • Japanese bilingual
