TITLE: Inventory Control and Shipping Specialist
DEPARTMENT: Finance
REPORTS TO: Accounting Manager
POSITION SUMMARY: The Inventory Control & Shipping Specialist is responsible for performing supply clerical tasks to include: maintaining and analyzing inventory and stock records, making recommendations for adjustments of stock levels, initiating requisitions for replenishment of supplies, checking merchandise received against purchase order descriptions, auditing requisitions, and processing reports of goods received. Conducts monthly inventories of supplies. Processes and maintains records showing present location, transfer or disposal of property or goods. Schedules or coordinates the delivery of supplies or equipment to the appropriate department or storage location.
ESSENTIAL JOB FUNCTIONS:
- Oversee inventory control and manage stock levels. This involves monitoring inventory levels, ensuring that there is enough stock to meet demand without overstocking, and managing the replenishment process.
- Manage warehouse logistics. This includes ensuring proper storage, handling, and receipt of goods. Must also work with shipping providers to arrange the most efficient and cost-effective shipping methods. Must ensure timely receipt of supplies and reduce lead times to positively impact customer satisfaction and operational efficiency.
- Negotiate contracts and terms with suppliers. The inventory control specialist must ensure that the terms are the most favorable for the company and align with the company’s goals. This includes negotiating prices, delivery schedules, payment terms, and quality standards, thereby securing reliable and high-quality supplies at competitive prices.
- Collect and analyze data on various aspects of inventory levels, transportation costs, lead times, and supplier performance to ensure efficiency and effectiveness of operations.
- Work with the finance team to conduct a quarterly inventory audit and review performance trends for areas of improvement.
- Work with FedEx to compare FedEx invoices with goods delivered for accuracy. Scrutinize these invoices to gain insight and improve service through discussions and negotiations with the vendor.
- Courier Duties. Possible courier duties as needed.
KNOWLEDGE, SKILLS, ABILITIES AND PHYSICAL REQUIREMENTS:
- Knowledge of:
Methods and practices of receiving, storing and issuing materials, tools, equipment and supplies; inventory control record keeping practices and procedures; units of weights and measures and standard terminology; suppliers of materials required by the department to which assigned; shipping requirements and methods; medical supplies and brand names; personal computers and associated software applications (including Microsoft Excel); use and maintenance of tools related to the work; business arithmetic; record keeping principles and practices; department safety principles and practices; handling, storage, use and disposal of hazardous materials
- Skill in:
Negotiation and vendor management, performing accurate receipt, storage and issuance of materials, supplies and equipment; maintaining accurate inventory control records; making accurate arithmetic calculations; understanding and following oral and written instructions; establishing and maintaining effective working relationships with all personnel contacted in the course of duties; efficient, effective and safe use of equipment.
- Physical Requirements and Working Conditions:
Mobility to work with typical lab supply shipments, including the operation of standard office equipment; stamina to stand and/or walk for extended periods of time; strength to lift and maneuver equipment and materials weighing up to 100 pounds with proper equipment; vision to read printed materials; and hearing and speech to communicate effectively in person and over the telephone. Certain positions may require mobility to safely operate a motor vehicle and/or material handling equipment. Strength and agility to exert up to 100 pounds of force occasionally, and/or up to 50 pounds of force frequently, and/or up to 20 pounds of force to move objects.
PRIOR EXPERIENCE:
- Monitoring, ordering, stocking, and transporting supplies and/or equipment.
- Investigating and troubleshooting inventory issues/problems.
- Ensuring stock expiration is minimized with adherence to stock rotation guidelines and best practices.
- Preferred recent (within past 5 years) documented inventory management experience
- 3 years in supply management and logistics role
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
