Pavion and our family of companies is seeking a talented and motivated Operations Support Specialist to join our integration business unit.
Primary Responsibilities:
- Manage schedules, calendars, and appointments for team members as needed
- Order office supplies and schedule equipment maintenance
- Handle incoming and outgoing correspondence, including emails, phone calls, mail and deliveries
- Prepare and organize documents, reports, and presentations for managers
- Assist with data entry, filing, and maintaining accurate records
- Arrange travel, accommodations, and itineraries for staff
- Coordinate and schedule meetings, conferences, and events
- Support team projects by managing timelines and ensuring deliverables are met
- Assist in the warehouse as needed
- Gather and submit information for project permits as needed
- Coordinate vehicle maintenance and repairs
- Perform other duties as assigned by the Operations manager or General manager
- High school diploma or equivalent required
- Proven experience in an administrative or support role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Strong organizational and time-management skills with keen attention to detail
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information with discretion
- Positive attitude, flexibility, and the ability to work both independently and as part of a team
