Job Summary:
The Contracts Administrator will be responsible for managing, reviewing, negotiating, and ensuring compliance with contracts, particularly federal contracts related to pharmaceutical repackaging. This role involves coordinating with internal departments, government agencies, and external partners to ensure that contractual obligations are met in accordance with legal and regulatory requirements. The ideal candidate will have experience with government contracting, compliance with FAR/DFARS regulations, and knowledge of pharmaceutical industry standards.
Key Responsibilities:
- Contract Management & Compliance
- Prepare, review, and administer federal contracts, subcontracts, and commercial agreements.
- Ensure compliance with Federal Acquisition Regulations (FAR), Defense Federal Acquisition Regulations (DFARS), and other applicable government regulations.
- Maintain contract records and manage contract modifications, amendments, and renewals.
- Track key contract deliverables, performance obligations, and deadlines.
- Assist in the development and implementation of contract policies and procedures.
- Government Contracting & Reporting
- Serve as the primary point of contact for federal contract administration.
- Ensure compliance with GSA Schedule, VA contracts, FDA regulations, and other applicable federal requirements.
- Coordinate with government agencies such as the Department of Veterans Affairs (VA), Department of Defense (DoD), and the General Services Administration (GSA).
- Prepare and submit required federal reports and documentation, ensuring accuracy and timeliness.
- Risk Mitigation & Negotiation
- Identify potential risks in contracts and propose strategies for mitigation.
- Work closely with legal, finance, and operations teams to negotiate contract terms and conditions.
- Ensure proper documentation of contract disputes, changes, and resolutions.
- Regulatory & Compliance Support
- Stay up to date with federal regulations, pharmaceutical compliance standards, and industry best practices.
- Ensure adherence to DEA, FDA, and cGMP (Current Good Manufacturing Practices) requirements in contractual obligations.
- Conduct internal audits to ensure contract and regulatory compliance.
- Collaboration & Communication
- Act as a liaison between the company, government agencies, and subcontractors.
- Support procurement, finance, and legal teams in contract-related matters.
- Provide training to internal teams on contract requirements and compliance issues.
Qualifications
Qualifications & Requirements:
- Education: Bachelor’s degree in Business Administration, Contract Management, Legal Studies, or a related field. Master’s degree or JD is a plus.
- Experience:
- Minimum 3-5 years of experience in contract administration, preferably in the pharmaceutical or life sciences industry.
- Experience handling federal contracts, GSA schedules, and VA contracts.
- Familiarity with FAR, DFARS, and government procurement processes.
- Knowledge of cGMP, DEA, FDA, and pharmaceutical compliance regulations.
- Skills:
- Strong understanding of government contract law and compliance.
- Excellent negotiation, analytical, and problem-solving skills.
- Ability to manage multiple contracts and deadlines efficiently.
- Strong written and verbal communication skills.
- Proficiency in contract management software and Microsoft Office Suite.
