Job Summary :

We are seeking a detail-oriented and proactive Contract Administrator to join our Emergency Relief Team. In this role, you will be responsible for overseeing all contracts related to our emergency relief operations, including managing the Request for Proposals (RFPs) for various vendors. Your expertise will help ensure that our contracts are compliant, efficient, and aligned with our organizational goals.

Key Responsibilities :

  • Contract Management :
  • Oversee the entire contract lifecycle, from drafting and negotiating to execution and renewal of contracts related to emergency relief operations.
  • Ensure all contracts are compliant with legal and regulatory requirements.
  • Vendor Oversight :
  • Manage the RFP process for selecting vendors, including the development of RFP documents, evaluating vendor proposals, and making recommendations based on quality, cost, and capacity.
  • Build and maintain relationships with vendors and contractors, ensuring effective communication and collaboration.
  • Collaboration :
  • Work closely with the Emergency Relief Team, legal counsel, and other departments to ensure that contract terms meet the needs and objectives of all stakeholders.
  • Assist in the development of policies and procedures related to contract administration.
  • Documentation and Reporting :
  • Maintain accurate records of all contracts and related documentation.
  • Prepare reports and analyses on contract performance and compliance, providing insights to leadership.
  • Training and Support :
  • Provide training and support to team members and relevant personnel on contract management best practices and compliance requirements.

Qualifications :

  • Bachelor’s degree in business administration, public administration, or a related field. A focus on contract management or procurement is preferred.
  • Previous experience in contract administration, procurement, or a similar role, preferably in emergency relief, nonprofit, or government sectors.
  • Strong understanding of contract law and compliance regulations.
  • Excellent negotiation, communication, and interpersonal skills.
  • Detail-oriented with strong analytical and problem-solving abilities.
  • Proficient in contract management software and Microsoft Office Suite.
