Job Summary
The Patient Services Representative is the first person a patient talks to when they call our office and the first person they see when they walk in the door. Our private physical therapy practice is a close knit community dedicated to providing the best individualized care to our patients.
This position involves supporting patients with scheduling and billing, providing administrative support, and collaborating with the clinic team.
Responsibilities
- Greet patients warmly and professionally upon arrival at the clinic or when calling. Provide good customer service to patients and staff
- Assist patients with questions regarding services, scheduling, billing, payments and insurance verification.
- Assist patients in completing required paperwork, including intake forms and insurance information.
- Verify patient insurance eligibility and benefits
- Collect co-pays and outstanding balances at the time of service.
- Collect and enter information to complete patient files.
- Maintain patient records with confidentiality and adhere to HIPAA regulations.
General Clinic Maintenance:
- Maintain a clean and organized clinic, ensuring that it is always welcoming for patients.
- Restock office supplies and equipment as needed to ensure smooth clinic operations.
Collaboration & Teamwork:
- Work closely with physical therapists, the office manager, and other administrative staff to ensure smooth clinic operations.
- Assist with patient follow-ups, including patient surveys or additional appointment scheduling.
Education: High school diploma or equivalent required
Experience: Previous experience in healthcare is preferred. Experience with customer/patient services is required.
Skills:
- Strong communication, customer service and interpersonal skills.
- Ability to manage multiple tasks efficiently.
- Good organizational skills and attention to detail.
- Knowledge of insurance processes and medical billing practices is a plus but not required.
- Proficiency in basic office equipment (phone systems, fax, etc.) and basic computer functions.
- Knowledge of electronic medical records (EMR) systems is desirable. Otherwise, the ability to learn new software quickly.
Physical Requirements:
- Ability to sit or stand for long periods of time.
- Occasional lifting of up to 20 pounds (e.g., office supplies, patient files).
- Ability to perform repetitive tasks such as typing and answering phones.
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
Expected hours: 15 – 20 per week
