Responsibilities – Administrative Coordinator; Community Programs/ Counseling
- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors and clients
- Maintains digital filing systems as assigned
- Maintains scheduling system for management and supervisors
- Retrieves information as requested from records, email, minutes, and other related documents and prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules meetings and appointments for managers or supervisors
- Records and distributes minutes or other records for meetings
- Assist with weekly billing of Community Programs department by compiling, reviewing, and editing billing information
- Maintain accurate billing for outside vendors when applicable
- Input and scan confidential information into the computer data system as needed.
- Manage tracking of applicants, call to pre-screen, schedule interviews, send offer letters, contracts to applicants. Coordinate hiring with Human Resources.
- Assist Counseling Manager with administrative tasks related to the clinic
- Maintain records for certification and trainings; act as administrator for outside vendor systems (ICANs)
- Assist with the monthly analysis of revenue, wage information, and encounters for the clinic
- Manage, edit, and upload client lists and team lists
- Audit and approve counselor timesheets
- Manage and approve PTO and time change requests for the counseling division.
- Maintain Time Off Calendars for the counseling management team.
- Monitor incoming correspondence for ICANS ROI’s and CBRS authorizations
- Upload specific client information to the EMR and maintain tracking of records
- Other duties as assigned by Community Programs Manager, Counseling Manager and Clinical Director
Job Type: Full-time
Pay: $16.50 - $22.00 per hour
