What are the responsibilities and job description for the Mailroom Clerk position at Pechanga Tribal Government?
SUMMARY:
Prepare incoming and outgoing mail for distribution. Address, seal, stamp and affix postage to outgoing mail or packages. Provide back-up support for the full-time Mailroom Clerk and the Receptionist when needed.
Schedule: Monday, Tuesday, Friday 9:00 - 3:00 pm. Saturday backup as needed
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Must be able to work Saturday hours
- Affix postage to packages or letters by hand or stamp materials using postage meters and mailing system.
- Track incoming or outgoing letters and/or packages with computer system.
- Prepare mail and packages for pickup by USPS, FedEx, UPS and other services as needed.
- Log incoming and outgoing mail and packages utilizing digital system.
- Contact Tribal Members, residents and employees for package pick-up.
- Distribute incoming and outgoing mail and packages.
- Pickup and deliver mail to offsite location.
- Format, copy and process the weekly newsletter for distribution.
- Print envelopes as requested from other Government Center departments, for Tribal Membership communication.
- Print and provide mailing labels as requested by other Pechanga entities for mail distribution.
- Provide backup support to the receptionist; answer telephones, screen and direct calls; conduct guest check-in and contact appropriate party for availability; and direct visitors as necessary.
- Provide excellent customer service to all callers and visitors to the Tribal Government Center.
- Must adhere to all policies and procedures of the Pechanga Tribal Government
QUALIFICATIONS, EDUCATIONAND EXPERIENCE:
- Candidate must have 1-3years of related experience in an office environment.
- High School Diploma or GED preferred
- Valid driver’s license and proof of insurance required.
- Ability to lift up to 50lbs. packages required.
- Experience with Microsoft Excel, Word, Outlook, and Publisher required.
- Experience utilizing Pitney Bowes mailing system preferred.
- Must be able to work independently with minimum direction.
- Ability to multi-task; sorting mail, assisting mail delivery vendors, member pick-up of packages, answering telephones, greeting and assisting walk-in visitors at the same time.
- This position must comply with the Pechanga Tribal Government’s Drug-Free Workplace Policy. This includes pre-employment testing, post-accident or injury, and random testing.
- Must successfully pass a pre-employment background investigation.
