Peninsula Volunteers, Inc., (PVI) is a celebrated nonprofit headquartered in Menlo Park for nearly 75 years with the mission of enabling seniors to age in place. PVI has a profound legacy of commitment to the care of older adults and impacts over 6,000 local households by offering critical programs and services for seniors on the San Francisco Peninsula and Silicon Valley through our four core programs: nutritious daily meals from PVI’s Meals on Wheels, Rosener House Adult Day services for those with Alzheimer’s and other forms of dementia, and Little House, The Roslyn G. Morris Activity Center for a variety of intellectual, cultural and physical well-being activities; and our Transportation Services for access to medical appointments, vaccines, grocery and drugstores. Job Summary: The Transportation Coordinator is responsible for managing calls for our Ride-PVI on-demand transportation services. This position involves receiving ride requests, dispatching drivers using a desktop rideshare platform, and maintaining accurate client and ride records. The assistant will also support client registration, update databases, and communicate program details to clients, ensuring a smooth and efficient service experience.
Key Responsibilities:
- Receive Ride Requests: Answer phone calls from senior clients or their caregivers to schedule transportation services, ensuring all ride requests are handled promptly.
- Dispatch Rides: Use a desktop rideshare platform to assign and dispatch drivers, making sure that clients are transported on time.
- Code and Track Rides: Input and code each ride correctly in the system, maintaining organized and accurate records for future reference.
- Client Registration Support: Assist seniors with the registration process, including the collection and input of required information into the system.
- Maintain Client and Ride Records: Regularly update and maintain client information and ride history in spreadsheets and databases, ensuring all details are up-to-date.
- Provide Program Information: Communicate important information to clients about program guidelines, eligibility, operating hours, and any associated fees.
- Client Follow-up: Confirm scheduled rides, notify clients of any changes, and respond to inquiries promptly to ensure client satisfaction.
- Address Service Issues: Handle any problems that may arise with ride scheduling or service delivery, working to resolve issues quickly and efficiently.
- Collaborate with Team Members: Work closely with other staff members to ensure the smooth coordination of services and that all clients are well-served.
Qualifications:
- Strong communication and customer service skills
- Proficiency in Microsoft Office, especially Excel, and database management
- Experience with dispatch or rideshare platforms (preferred)
- High level of organization and attention to detail
- Ability to handle multiple tasks and prioritize work efficiently
- Experience working with senior or in community services is beneficial
Work Schedule: This role is onsite, maybe full-time or part-time, weekdays.
