The Pennsylvania Legislative Reference Bureau seeks a Citations Administrative Assistant. The Pennsylvania Legislative Reference Bureau offers legal services to members of the legislature on a confidential, non-partisan basis. Job Summary
A Citations Administrative Assistant provides essential support to ensure smooth office operations by handling inquiries, logging requests and assisting with various administrative tasks and performs proofreading for congratulatory citations and condolence resolutions for members of the General Assembly.
Primary Duties:
- Maintain database of citation requests; assist staff by logging citation requests into the database, identifying duplicate requests and distributing requests to staff.
- Provide information, direction and assistance by answering telephones, responding to emails and greeting visitors.
- Handle distribution of citations by copying and assembling completed citations and arranging for delivery or pickup.
- Proofread documents for proper spelling, grammar, punctuation, capitalization, formatting, mark-up, proper sequence and length.
Required Knowledge, Skills, and Abilities
- Typing and word processing skills and a strong knowledge of grammar and punctuation
- Ability to pay close attention to detail, achieve a high degree of accuracy when accomplishing tasks, and work effectively under pressure to meet tight deadlines
- Ability to determine priorities, track progress and manage time effectively
- Knowledge and skill in the principles and practices of customer service
- Ability to identify salient facts from written submissions and produce a clear exposition
- Ability to work independently as well as cooperatively as part of a team
Education and Experience
A Bachelor’s degree in English, Journalism or related field or equivalent education and experience is required.
