Job description: Office Administrator
Accountable to: Pastor(s) and the Mission Leadership Team (MLT)
General Function: The Office Administrator will be responsible for completing the tasks mutually agreed upon as outlined in the following job description. Tasks within the job description may be requested of the Office Administrator by any member, team, MLT or staff person. Should such an assignment cause a problem, the concern shall be resolved by the Pastor(s) in consultation with the MLT.
Qualifications: Requires a person with planning creativity, phone and interpersonal skills, accuracy, and organizational skills, and a person who will provide a friendly, approachable, welcoming, and informed presence. Intermediate to advanced skills in Microsoft Word and Publisher. Has the ability and willingness to be flexible about working schedules and hours to provide event coverage. It is imperative to be able to work in a staff setting and protect the confidentiality of staff and congregational members. This person needs to work closely with staff and volunteers.
Essential Duties and Responsibilities
- Answers phone during office hours
- Maintains office equipment and office supplies
- Prepares list of expenditures for approval and forwarding to accountant for payment
- Assists the pastor with communications by handling written correspondence and phone messages
- Manages the church’s website, newsletter, bulletin, announcements, and other publicity
- Maintains church calendar - Keeps the master church calendar and makes sure there are no conflicts
- Keeps the church schedule for use of the fellowship hall for weddings and gatherings as well as the use of classrooms for Bible studies or other special courses
- Tracks church attendance and keeps reports on file
- Sends out yearly giving statements
- Maintains membership information in BREEZE or other church software
- Ensures that the physical buildings belonging to the church are well maintained by contacting repairmen and overseeing their work
- Maintains all service contracts and leases for buildings, copiers, etc.
- Manages keys for access to the building – issuing keys for appropriate individuals and retrieving keys when no longer needed
- Maintains all insurance policies associated with the church and keeps an inventory of all church property including vehicles and equipment
- Schedules the cleaning crew and landscapers who keep the church property maintained inside and out.
- Manages energy use in the church and works to make it as efficient as possible
- Administers the records of the church and official documents, including all policies and procedures
- Answers questions from members and other staff regarding administrative processes
- Recruits and manages volunteers to assist in the administrative processes
- Takes initiative to improve workflow and processes within the church buildings and procedures
Required Knowledge, Skills, and Abilities
- Demonstrates excellent interpersonal and leadership skills
- Displays strong verbal and written communication skills
- Has exceptional mathematical abilities
- Pays close attention to detail and has excellent record-keeping abilities
- Possess strong technological abilities and knows computer programs such as Microsoft Office Suite, BREEZE, or other church management software, social networking sites (Facebook, Instagram, etc.)
- Has ability to operate standard office equipment
- Demonstrates knowledge of and can apply standard bookkeeping skills and accepted accounting practices
- Possesses the ability to skillfully coordinate the work of a large group of volunteers
- Has knowledge of and supports the church’s mission statement, beliefs, and commitment
Hours and compensation
- 20 hrs. per week
- $16- $17 per hour (based on skills and abilities)
