Situatied within our Internal Communications team, and reporting to the Director of Event Production & Meeting Services, you will lead large-scale meeting planning and execution for PepsiCo corporate. Our internal events are designed to engage, inspire and celebrate people, while key external events are designed to elevate PepsiCo’s business and reputation. You will focus on developing program strategy and successfully execute large-scale, high-profile meetings and events across the business.
This is the perfect role for you if you are an experienced meeting services professional that is well-versed in all aspects of event planning, have an in-depth knowledge of strategy and budget management, and a deep understanding of meeting services best practices, a clear understanding of and experience with hotels, convention centers, other event venues!
This role is based in Purchase, NY
Responsibilities
Responsibilities include:
- Serve as point of contact with stakeholders and hotel representatives for all programs
- Oversee research and recommendations of event locations through PepsiCo’s procurement process
- Create RFPs working with the team and internal stakeholders
- Manage and analyze stakeholder budgets per program, per event
- Manage recruitment of onsite staff, including scheduling and onsite supervision
- Oversee all event logistics to ensure successful execution
- Supervise planning and logistics for exhibits and trade shows, when included in a stakeholder’s program
- Troubleshoot all related stakeholder issues to resolution
Primary administrative responsibilities include:
- Create Statements of Work and contracts for each stakeholder program
- Accounting turnover of each contract to the company’s accounting team
- Reconcile budget as it relates to contracts after each event
- Work closely with the registration team and the registration coordinator to ensure all registration requirements are met for each event
- Monitor timely invoicing as it relates to contracts, working with the accounting team or finance manager
- Ensure all documents are processed correctly and signed off in a timely manner
- Manage direct report’s professional skills and development plans
Compensation and Benefits:
- The expected compensation range for this position is between $81,000- $135,600 based on a full-time schedule
- Location, confirmed job-related skills and experience will be considered in setting actual starting salary
- Bonus based on performance and eligibility; target payout is 10% of annual salary paid out Annually.
- Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement

Qualifications
Minimum Qualifications:
- 5 years of experience in all aspects of meeting and event management, including:
- supervisory experience
- onsite logistics experience
- experience managing executive-level meetings
- planning events for large groups of 500 people
- Creating an event budget, continually managing a budget, and reconciliation of budget at the end of the event
- Proficiency in database management (Registration tools, Apps, Cvent etc.)
- Some travel required (10-20%)
Preferred Qualifications:
- Detailed understanding of event and conference contract terms and conditions and experience with contract negotiations
- Proficiency in Microsoft Office
- Strong interpersonal and relationship-building skills, especially with senior-level professionals, cross-functionally, and with agency partners
- Must be a self-starter, detail-oriented, and an attentive listener
- Motivated team player with the desire to learn and grow
- Ability to thrive in high-pressure situations
