Essential Functions
- Process accounts payable for separate entities & vendors
- Enter and/or upload invoices into system
- Sort and match invoices with their respective purchase order & other supporting documentation
- Assemble check backup (invoice, PO, quote, BOL, approval, etc.) with printed checks
- Prepare and process electronic transfers and payments
- Control the physical mailing of paper checks along with filing of completed stubs
- Compare purchase orders, prices, terms of payment and other charges
- Ensure bills are paid in a timely and accurate manner
- Facilitate payment of invoices by tracking due dates and downloading/requesting invoices when applicable
- Reconcile the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted.
- Verify and investigate discrepancies, if any, by reconciling vendor accounts and monthly vendor statements
- Download and allocate monthly credit card statements and collaborate with other AP clerk to complete
- Understands expense accounts and cost centers
- Understands compliance issues around accounts payable processes (W-9, sales tax, etc.)
- Establish and maintain relationships with new and existing vendors
- Maintain vendor filed, agreements
- Provide supporting documentation for audits as requested
- Maintain confidentiality of organizational information
- 2 years of Accounts Payable experience
- High school diploma required, college courses in accounting preferred
- Solid understanding of basic bookkeeping and accounting payable principles
- High level of organization with emphasis on accuracy and attention to detail
- Data entry skills
- Proficient in Excel and Word
- Must be able to follow standard filing procedures
