Overview:
Summary
The Billing Specialist performs accounting related functions to support Tankwagon and Fuels/MFF billing for our Aberdeen WA regional office and customers. This position reports to the Administrative Supervisor.
Key Responsibilities
- Invoice fuel customers using Sage 100 system.
- Process credit and rebills for fuel customers as needed.
- Enter tankwagon Bills of Lading and inventory transfers.
- Invoice tankwagon and MFF customers.
- Receive and submit customer payments made at the regional office.
- Ensure all checks, sales orders, and deposits balance, researching and correcting when out of balance.
- Prepare and make bank deposits as needed.
- Receive, total, and scan all incoming checks to ensure successful batch submission to the online bank account.
- Process and invoice driver paperwork submitted by Fuel Dispatch. Ensure all information balances and customers are billed correctly.
- Research invoice issues, collaborating with customers and internal staff.
- Assist customers with billing issues or inquiries related to the Accounts Receivable function at the regional office.
- Provide accounting clerical support to include sorting, filing and record retention of delivery tickets, invoices and driver paperwork.
- Provide clerical support to the regional office by:
- Answering incoming phone calls.
- Assisting walk in customers visiting the regional office
- Supporting other employees with administrative needs.
Job Requirements
- Associate degree (A.A.) or equivalent from two-year college or technical school; or one year of related experience and/or training; or equivalent combination of education and experience.
- Ability to communicate effectively, both orally and in writing, with a wide variety of customers, employees, and others.
- Demonstrated proficiency with a multi-line phone system, office equipment, and Microsoft Office; specifically, Excel, Word, Outlook and Explorer. Experience with Sage 100 ERP a plus.
- Demonstrated ability to take ownership and see an issue through to completion.
- Excellent organizational skills, attention to detail, ability to meet deadlines, and manage competing priorities.
- Ability to interpret documents such as Bills of Lading, drivers’ logs, and fuel invoices as well as procedures.
- Ability to calculate figures and amounts such as discounts, sums, and percentages.
- Proven problem-solving experience by demonstrating the use of critical thinking and logic.
