What are the responsibilities and job description for the Accounts Payable Administrator position at PFM?
This position is in Philadelphia, PA and offers a hybrid work arrangement. Highly qualified remote candidates will also be considered. PFM is not offering visa sponsorship for this position.
POSITION OVERVIEW
The Senior Accounts Payable Administrator is responsible for serving as a key contributor in the Accounting department and ensuring the department provides effective accounts payable services for the organization leading to appropriate financial reporting. The position will report to the Accounts Payable Manager and should include payroll experience in addition to direct accounts payable experience.
RESPONSIBILITIES
Vendor Relations
- Assist with the management of vendor relationships
- Work with PFM internal clients and PFM vendors answering inquiries and resolving discrepancies in a timely manner
- Maintain AP vendor files and ensure payments are made in accordance with contracts and agreements
- Maintain approved vendor process and list
- Set up new vendor verification process for W9 information and analyze for automation
- Ensure 1099s are accurate and processing is timely
- Produce and analyze payment and disbursement reports in addition to review and monitor vendor payments for duplications and errors
Invoice & Payment Processing
- Process invoices and make settlements for the company
- Monitor and take advantage of early pay discounts
- Compile expenses, expenditures, reimbursements and disbursements
- Maintain list of recurring expenses
- Maintain and use processing checklists to ensure accuracy and completeness of processing
- Ensure that daily, monthly and weekly reports and settlements are completed in a timely manner
- Escheat checks to the state for all outstanding checks
Contracts & Service Agreements
- Maintain major service contract abstracts and related files
- Maintain inventory of contract along with schedules of contracts including their summary terms, expiration dates and PFM counterpart contact
Accounts Payable Operations & Optimization
- Assist with the automation and documentation of the entire accounts payable process
- Assist with the Implementation of straight through processing
- Assist with the process of streamlining accounts payable processes to improve overall efficiency
- Work to implement best practices to improve efficiency
Accounting & General Ledger
- Collaborate with the accounting team to maintain accuracy of the general ledger
- Reconcile journal entries to ensure all accounts are up to date
- Compile and maintain list of monthly accruals
Internal Support & Client Service
- Assist company employees with payment related inquiries
- Provide training and guidance to PFM internal clients to deliver excellent client service
- Collaborate with other departments to establish best practices and efficient processes throughout the department
Payroll
- Serve as Payroll backup and reviewer
MINIMUM QUALIFICATIONS
- At least two (2) years’ experience handling accounts payable responsibilities
- Proficient in Microsoft Office applications, especially Excel and Word
- Demonstrated experience with Workday, a similar ERP system, or a related accounting system
- Authorization to work in the U.S. for any employer without sponsorship now or in the future
Preferred Qualifications
- A bachelor’s degree from an accredited college or university
- Experience with payroll processing

The anticipated hourly rate for this non-exempt role is between $31.25 – 36.05; this position is eligible for annual performance-based bonuses. Actual compensation is influenced by a variety of factors including but not limited to skills, experience, qualifications, and geographic location.
