What are the responsibilities and job description for the Transaction Coordinator position at Phoenix Investors?
POSITION OVERVIEW
Phoenix Investors (the “Company” or “Phoenix”) is a national commercial real estate firm based in Milwaukee, WI, whose core business is the revitalization of former manufacturing facilities throughout the United States. Responsibilities
Primary Duties:
Drive transaction coordination across acquisition and leasing efforts, managing timelines and milestones from deal sourcing through closing
Collaborate cross-functionally with internal teams including Accounting, Legal, Property Management, and Construction to ensure smooth deal execution
Coordinate onboarding of new tenants, including document collection, internal communication, and setup across systems
Review and summarize leases, including key economic and legal terms for internal use
Assist in the preparation of LOIs, proposals, presentations, and client-facing materials
Organize and maintain deal documentation, including lease files, acquisition folders, and property records
Support weekly internal deal meetings by updating reports and tracking deal status
Conduct research on market comps, tenant profiles, ownership records, and municipal data
Interface with brokers, tenants, and vendors during active transactions to facilitate communication and deliverables
Identify opportunities to improve team work flows and aid in developing operational procedures
Secondary Duties:
Attend and contribute to property tours and broker events as needed
Assist in the coordination of leasing signage, property photography, and marketing collateral as applicable
Support special projects and ad hoc initiatives
Qualifications
Requirements:
Bachelor’s degree in real estate, business, finance, or a related field; or equivalent combination of education and experience
1 – 3 years of experience in commercial real estate, leasing, or transactions; prior exposure to tenant coordination or lease administration is a plus
Highly organized, detail-oriented, and able to manage multiple active deals with shifting priorities
Excellent communication skills, with the ability to interface professionally across departments and with external stakeholders
Proficient in Microsoft Office (Excel, Outlook, Word, PowerPoint); familiarity with Costar, LoopNet, or similar platforms is a plus
Comfortable working independently while supporting a high-performing, fast-paced team
Problem-solving mindset and willingness to jump in wherever needed to support deal flow
