What are the responsibilities and job description for the Front Desk Receptionist position at Physical Therapy Solutions?
Responsible for handling incoming telephone calls to the clinic. Acts as a telephone liaison between the public and clinic staff. Responsible for receiving orders from physicians’ offices and other external agencies and scheduling of patient appointments in an efficient and timely manner. Responsible for greeting, instructing, and directing patients and visitors. Considered a key public relation position between the public, patients, and the clinic staff. Responsible for computer registration of patient demographics and insurance information. Responsible for obtaining commercial carrier authorization for physical therapy when required by the patient’s insurance plan. Responsible for locating, pulling, delivering, and filing medical records and medical records materials. Responsible for medical record quality assurance monitoring and utilizing chart analysis and computer editing of the medical record. Responsible for compiling and reporting assigned production statistics and area quality assurance reports.
Responsible for assisting Office Manager: Entering charges and posting all payments daily. (Under direction of Office Manager) Maintaining patient accounts.
Copying all medical records for attorneys, case managers, other commercial insurance companies, and work comp carriers. Works under the guidance and supervision of the therapist.
Responsible for assisting therapists with specific physical therapy programs for patients designed by the therapist. Cleans department equipment and performs a variety of duties to maintain the clinical areas in a safe, orderly and sanitary condition.

Skill in operating computer, fax, and photocopy machine. Skill in answering the telephone in a pleasant and helpful manner. Skill in gathering and reporting information. Ability to sort and file materials correctly by alphabetic, chronological, or categorical systems. Ability to recognize, evaluate, solve problems, and correct errors. Ability to communicate clearly and concisely with insurance companies, case managers, attorneys, clinic staff, and the public. Knowledge of grammar, spelling, and punctuation to record accurate information. Knowledge of how to appropriately use and maintain physical therapy equipment. Knowledge of safety requirements and patient safety instructions. Ability to recognize and correct potentially hazardous conditions. Ability to work independently and as a team member. Ability to prioritize and complete work assignments. Demonstrates customer service values and professional conduct. Maintains a well-groomed appearance and courteous manner. Knowledge of the organizations policies, procedures, communication procedures, and organizational board. Ability to gather data, recognize statistical trends, applies condition formulas, establish action plans, and evaluate results. Ability to establish and maintain effective working relationships with patients, medical staff, the organization’s staff, and the public.
Education: High school graduate or GED. Associate Degree in Medical Secretary or Medical Records or Certified Nursing Assistant is preferred. Experience: Prefer 2 years experience in medical office setting Knowledge of CPT and ICD-10 coding is desirable Knowledge of anatomy and physiology is an asset Knowledge of medical, insurance, and legal terminology is desirable Word processing, spreadsheets, and computer experience necessary Certificate/License: None
