Position: Clerk III - Auditor
Location: Pine City, MN
Union: AFSCME Courthouse Unit
FLSA status: Non-Exempt, Full-Time (37.5 hours per week)
Essential Functions
- Prepares daily cash drawer, computes daily bank deposits from open cash drawer; balances daily collections and process overpayment refunds.
- Provide accurate and detailed information to the public in person or over the phone regarding property ownership, property taxes, and department operations.
- Prepare and submit Tax Abatement and Outstanding Indebtedness Reports to the State of Minnesota.
- Process real estate documents for the State of Minnesota deed tax, mortgage registration tax and property tax ownership records.
- Manage Licensing (Tobacco, 3.2, Liquor, consumption, pawn shops, auctioneer). Works with State, county and local officials to issue and manage all licenses.
- Assist with Elections including absentee voting and polling place preparations as required.
- Creates new vendors in the financial system including obtaining W-9’s before payment and ensures the vendor meet any requirements under the funding source they are to be paid from.
- Verifies all claims and vouchers to be paid have proper approval, accrual codes and account numbers.
- Ensures warrant register and checks are balanced, print checks, and ensure all vouchers are scanned for retention as required.
- Reviews all accounts payable transactions for 1099 purposes to ensure proper reporting to the Internal Revenue Service.
- Codes, enter, balance and post receipts for all non-property tax revenues while verifying account numbers, descriptions and amounts.
