SUMMARY:
This role is central to guest satisfaction, managing all transient/social billing inquiries with professionalism and attention to detail. You’ll work across departments to investigate and resolve billing issues while ensuring a smooth and respectful guest experience.
EDUCATION AND/OR EXPERIENCE:
High School diploma required. Customer service experience in a hospitality environment is preferred but not required. Agilysys POS or PMS experience is preferred but not required.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
No supervisory responsibilities.
LANGUAGE SKILLS:
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the organization.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to use Excel.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems and address problems with solutions in a business format.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Serve as the first point of contact for all transient/social guest billing inquiries, ensuring timely and professional responses from initial contact through final resolution.
- Respond to incoming guest calls, emails, and voice messages related to billing issues; promptly return calls left on the Billing voicemail.
- Communicate clearly and effectively in English, both verbally and in writing, with guests and internal departments.
- Manage a range of guest requests—from sending copies of folios to detailed investigations of complex billing concerns—while maintaining a calm and courteous demeanor.
- Act as a representative of Pinehurst Resort, handling guest comments and complaints with empathy and professionalism.
- Collaborate closely with various departments including Reservations, Front Office, Food & Beverage, Golf Operations, Spa, and Retail to collect information and resolve cases.
- Document case resolutions and root causes; communicate findings to relevant department managers to help prevent repeat issues and drive process improvements.
- Ability to learn and become proficient in all our POS, PMS, Credit Card and Accounting Systems.
- Strong customer service orientation with the ability to remain calm under pressure and resolve issues diplomatically.
- Attending Departmental Meetings
- Assist in any other accounting or billing needs as a member of our team
