Reports To: Chief Human Resources Officer  

Grade/Level: 5 

Amount of Travel Required: None 

Job Type: Regular 

Positions Supervised: None 

Work Schedule:

 

M-F, 8am-4:30pm 

 


 

 

POSITION SUMMARY

 

Responsible for the pre-hire (onboarding) of new employees and successful employee experience. Work with New Hire and Training Coordinator to ensure smooth transition for all staff. Prepare reports as assigned.

Essential Functions Statement(s)

Responsible for the pre-employment process from point of conditional offer acceptance, including preparation of offer letter, review of documents, processing background checks, pre-employment screenings, etc. and follow up/follow through of same.

Work with New Hire & Training Coordinator to establish first day of employment once all requirements

are met.

Maintain onboarding/new hire spreadsheets and report on same weekly.

Maintain updated documents needed to ensure successful onboarding.

Responsible for the termination process.

Examine employee files to answer inquiries and provide information for personnel actions.

Serve as liaison between HR and supervisors/managers regarding employee hiring status.

Partake in monthly internal file reviews with the Compliance Manager.

Keep apprised of changes to rules and regulations affecting employees pertaining to all pillars of Pioneer

Regularly review approved PAFs, notify those involved, and update employee information in HRIS when needed.

Process HR-related billing.

Prepare quarterly exit survey report to CHRO.

 

 

Run basic employee list on a monthly basis and provide to HR team members, Office Manager, and Receptionist.

Prepare years of service and new hire reports to CHRO for quarterly town hall meeting.

Maintain DCFS files and conduct monthly reporting.

Update HR Calendar monthly and as needed.

Take minutes at HR meetings, provide recap and action items to team members and follow up with all to ensure completion.

Maintain Home and HR pages on agency’s intranet

Monitor and manage agency’s virtual Suggestion Box

Maintain all Job Descriptions

Participate in running mid-year and annual employee background and MVR checks

Run monthly report of expired driver’s licenses and auto insurance and follow up with employees to ensure compliance.

Participate in all audits when needed.

Regular, reliable, predictable attendance.

All other duties as assigned by Supervisor.

SKILLS & ABILITIES

 

Education:

High School Graduate or General Education Degree (GED): Required

Associate degree (two-year college or technical school) Preferred, Field of Study: HR  

 

Experience:

3 plus years of experience in Human Resources. Familiarity with DCFS/IDPH a plus. HRIS Experience, specifically Paycom

 

Computer Skills:

Microsoft office experience in specifically Excel, Word, and Outlook. Experience with Relias and Paycom preferred.
