POSITION DESCRIPTION
POSITION TITLE: Executive Administrative Assistant for Human Resources
FLSA: Non-Exempt
REPORTS TO: Director of Human Resources
TERMS OF EMPLOYMENT: Twelve-month employment
SUPERVISES: N/A
QUALIFICATIONS: High School Diploma/GED
REQUIRED:
- High School Diploma
- Able to operate personal computer, laptop computer, peripheral computer equipment, photocopier, fax machine, and other office equipment with a high degree of accuracy
- Excellent communication skills; both written and oral Highly motivated, detail oriented, and able to multitask
PREFERRED:
- Associate Degree or higher Prior secretarial experience
FOCUS:
Serve as Administrative Assistant for Human Resources to the Assistant Superintendent for Administration and Director of Human ResourcesESSENTIAL JOB FUNCTIONS:
- Perform all duties, such as typing correspondence, reports and other materials as directed by the Assistant Superintendent for Administration and Director of Human Resources
- Prepare agenda, communication for members, attend and take minutes of meetings of the Salary Taskforce and Behavior Management Committee
- Coordinate annual Pittsylvania County Teacher Job Fair
- Maintain personnel changes, listing and vacancy updates for Superintendent, Assistant Superintendent, Director of Human Resources and School Board and complete employment scanning as necessary
- Enter and update employee information and job assignments in Keystone for all personnel
- Compile Salary Book annually
- Assist in completing annual employee contracts
- Maintain the Vacancy Replacement listing and ensure that vacancies are posted in a timely manner by updating the online application
- Work with the Assistant Superintendent for Administration and Director of Human Resources in planning activities for the Retirement Luncheon and the New Employee Orientation Sessions as well as additional School Board Office activities as needed
- Maintain the Level II Volunteer Lists, including necessary correspondence
- Secure substitutes for front desk as needed
- Prepare materials for the Electronic Principals’ Notebook
- Prepare materials and schedule Administrative interviews, set up interview area
- Type payroll notes for all changes in salary, assignment, terminations, suspension or leaves of absence
- Complete requests of former personnel for verification of experience/employment
- Complete requests for verification of experience of teachers for cancellation of State and federal student loans
- Serve as Notary
- Handle and file all Workers’ Compensation Claims Coordinate suspension appeals
OTHER JOB FUNCTIONS:
- Maintain confidentiality
- Perform other duties as assigned by the Division Superintendent, the Assistant Superintendent for Administration, Director of Human Resources and the School Board
